- Coordinate with hiring managers and finance teams to gather required inputs for SOW creation.
- Ensure SOWs include accurate cost estimates, billing structures, milestones, and payment terms.
- Track SOW approvals, revisions, and renewals.
- Maintain a centralized repository of all approved SOW documents.
2. Financial & Resource Tracking
- Create and maintain project finance trackers to monitor:
- Budget allocation
- Actual spend vs forecast
- Vendor costs
- Resource utilization
- Update trackers regularly to reflect project financial status and budget consumption.
- Identify and flag budget variances or potential overspending.
3. Cross-Team Coordination
- Support teams under the hiring manager by consolidating project financial data.
- Act as a coordination point between:
- Finance team
- Hiring manager (Direct reporting)
- Ensure consistent financial reporting and documentation standards across teams.
4. Reporting & Dashboard Management
- Prepare weekly or monthly financial reports for leadership.
- Maintain dashboards showing:
- SOW status (draft / approved / expired)
- Budget utilization
- Provide insights to help the hiring manager track project financial health.
5. Compliance & Documentation
- Ensure SOWs and financial documentation comply with internal finance policies and procurement guidelines.
- Maintain proper documentation for audit and financial governance purposes.
- Track contract expiration dates and renewal timelines.
- Improve tracking workflows using tools like:
- Microsoft Excel
- Microsoft SharePoint
- Automate reporting where possible.
- A simple SOW template
- A Project Finance Tracker template (Excel structure)
- A weekly reporting dashboard format
