Facilities Supervisor
RESPONSIBILITES:
- Responsible for maintaining a healthy productive work environment of the facilities.
- Provides a single point of contact for each business unit.
- Acquires an understanding of business requirements in order to deliver customer service.
- Landlord Interface to resolve building issues, project planning and meeting governmental requirements for occupancy.
- Maintains drawings of space for planning for new hires and space allocations.
- Oversees the mail room services, copy services, reception
- Reviews and approves local vendor bills
- Works directly with vendors, establishes service expectations, reviews services
- Responsible for annual and bi-annual bids for outside office services provided by vendors
- Reviews and manages maintenance contracts for all office electronic equipment with the exception of computer equipment
- Manages the office services help desk (Facility Mailbox, Building Work Tool and/or Phone Line)
- Oversees the equipment servicing and monitors maintenance issues that fall within facility standards.
- Manages building security access program
- Maintains the parking records
- Manages the office key program
- Responsible for the office emergency plan, evacuation plans, life/safety program and training
- Manages conference room scheduling
- Oversees the pantry and catering services
- Project management �· construction projects, liquidations, bid review, space planning, space standards, office moves
- Implementing facility office standards and creating new standards if necessary.
- Making important day to day business operational decisions without the need for RFM approvals.
- Continually looking for cost saving measures.
- Review all facility real estate reports on a monthly basis that pertain to local office(s) and evaluate for cost savings.
QUALIFICATIONS:
- Post Secondary diploma or degree
- Minimum 5 years of experience working in a facilities position
- Building operations certificate such as RPA, IFMA preferred
KNOWLEDGE, SKILLS & ABILITIES:
- Bilingual (French & English)
- Understanding of building operations
- Ability to react to building failures in a calm organized manner
- Manage/Supervise staff both in house and outsourced
- Excellent interpersonal skills with the ability to quickly develop business relationships
- Strong self-motivation to drive results
- Excellent communication skills both verbal and written
- Effective use of Microsoft Office
- Ability to compare proposals
- Planning skills so that services are continually available.
