Completes a
broad variety of administrative tasks for the CEO including managing an
extremely active calendar of appointments; completing expense reports;
composing and preparing correspondence that is sometimes confidential;
arranging complex and detailed travel plans, itineraries, and agendas; and
compiling documents for travel-related meetings.
Successfully
completes critical aspects of deliverables with a hands-on approach, including
drafting acknowledgement letters, personal correspondence, and other tasks that
facilitate the CEO's ability to effectively lead the company.
Prioritizes
conflicting needs; handles matter expeditiously, proactively, and
follows-through on projects to successful completion, often with deadline
pressures.
Organizes and
manages the day-to-day running of the CEO's affairs to ensure the provision of
high-quality support and keep track of everything the CEO needs to perform his
duties
Plans,
coordinates and ensures the CEO's schedule is followed and respected,
prioritizes appointments and reschedules where necessary.
Manages,
prioritizes, screens and monitors the CEO’s correspondence, including calls and
post to ensure they are dealt with appropriately.
Collects and
researches information on assigned matters.
Produces
reports and statistical analyses as per the request of the CEO.
Ensures that relevant
information is gathered and prepared to brief the CEO for meetings, trips, and
events.
Meets and
greets visitors to the CEO’s office as appropriate.
Provides a
bridge for smooth communication between the Executive office and internal departments;
demonstrating leadership to maintain credibility, trust and support with senior
management staff.
Board
Support and Liaison
:
Assists board
members with travel arrangements, lodging, and meal planning as needed
Maintains
discretion and confidentiality in relationships with all board members
Adhere to
compliance with applicable rules and regulations set in by laws regarding board
and board committee matters, including advance distribution of materials before
meetings in electronic/paper format.
Senior
Management Liaison:
Participates
as member of the Executive Team including assisting in scheduling meetings and
attending all meetings.
Assists in
coordinating the agenda of senior management team meetings and all staff
meetings.
Requirements
University degree in a business-related
field.
Fluent in written and spoken English
& Arabic.
Proficient in Microsoft Office.
At least 5 years of experience supporting the
executive level
