Here, at Volvo Cars, our Facilities Management (FM) team ensures that our workplaces are safe, efficient, and designed to support world‑class automotive operations. We focus on maintaining a reliable, sustainable, and future‑ready work environment. As a Facility Management Coordinator, you will play a key role in keeping our operations running smoothly by providing essential coordination, documentation, and communication support to the FM team.

What you'll do

• Coordinate daily operations across the FM team, ensuring clear communication, aligned priorities, and timely task follow‑up.
• Support the FM Manager with meeting organization, action tracking, reporting, presentations, and documentation preparation.
• Maintain and manage As‑Built and Facility documentation, including version control, archiving, and retrieval for inspections or audits.
• Monitor and track workplace service requests and defects reported through internal applications, ensuring timely assignment and follow‑up until closure.
• Provide administrative support including data entry, asset updates, maintenance hierarchy creation, and preventive maintenance planning support.
• Coordinate entry processes for suppliers and visitors, including site access, security requirements, and safety training compliance.
• Contribute to continuous improvements in FM processes, workflows, documentation structure, and vendor onboarding.

What you'll bring

• Excellent coordination and organizational skills, with the ability to manage multiple priorities.
• Strong communication and interpersonal capabilities, including the confidence to follow up, remind, and escalate when needed.
• A structured and detail‑oriented approach to documentation and administrative tasks.
• Proactivity, reliability, and readiness to support a diverse technical FM team.
• Proficiency in MS Office (Outlook, Excel, PowerPoint, Word) and comfort working with digital tools and apps.
• Experience with FM documentation, workplace services, CMMS/Maximo, or facility operations is an advantage, but not required.

**Additional Information**

This role works closely with FM Specialists (mechanical, electrical, fire safety, soft services, and more) and reports directly to the Facility Manager. Your work will directly support efficient daily operations within one of Volvo Cars’ key locations.

Compensations

Base Monthly Salary (Gross) for this position starts from 1.600 EUR.

* The salary amount represents the minimum guaranteed amount of the basic salary component applicable to the job. Final salary is negotiable and will be adjusted in accordance with seniority level and previous experience of candidate.
