Kōrero mō te tūranga - About the role
Te Herenga Waka - Victoria University of Wellington is currently recruiting a Mata Ahupae - Administrator, Operations Support in Te Kura Tātai Aro Whenua—School of Geography, Environment and Earth Sciences. This is a permanent role and makes a significant contribution to the administrative support structure within the school.
Key responsibilities:
- Prepare and administer contracts and employment agreements for research assistants, tutors, short-term and casual staff, and provisions of access as required, professionally and with a high level of accuracy. This will require having or developing an in-depth understanding of VUW standards, policies and guidelines as they relate to the employment of staff.
- Assist the School Manager with day-to-day financial transactions, including purchase orders, invoices, purchasing cards and general expense claims.
- Produce reports on expenditure and contracts.
- Assist with general administration and operation support for academics and students.
- Assist with organisation and support of School Committees, School Staff Meetings and other meetings as required, including preparation and distribution of meeting agendas as well as taking minutes.
- Proactively support a wide range of School activities. This will include travel management, reception duties, stationery orders, replenishing stock in shared kitchens, and mail services.
- Work collaboratively with other team members to provide high quality front-line support services, including where needed, providing cover for other members of the administration team as and when agreed with School Manager.
- Provide support in updating and maintaining the school’s website, event calendars, and other communications, ensuring information is accurate and up to date whilst adhering to university guidelines.
- Maintain relevant documentation and update processes in the Administrator desk file.
- Build and maintain excellent working relationships with key stakeholders, especially other Schools and CSUs within the University.
- Other duties as required by the School Manager and Head of School.

Key requirements:
- Experience in Human Resources and financial management.
- Demonstrated experience in administrative roles.
- Excellent communication skills both oral and written including a consistently high level of clarity and accuracy evident in all written material produced.
- Proven ability to work under pressure and within a continually changing environment.
- Proven ability to work independently, use initiative and prioritise tasks to meet deadlines in a demanding environment with excellent attention to detail.
