The Sales & Production Coordinator assists the division with scheduling projects, tracking progress and expenses, and communicating with other team members, performing various tasks described in more detail below.
Reporting to the Branch Manager, the Sales and Production Coordinator (SPC) is the “face” of the company, ensuring seamless coordination between sales, operations, and customers to deliver consistently exceptional customer experiences. This role manages sales leads, proposals, scheduling, and invoicing. The SPC is a critical link between Arbor Advisors, crews, and customers, optimizing operational efficiency and customer satisfaction. They communicate with customers throughout the process, from receipt of the initial lead to invoicing.
As a Sales & Production Coordinator, you would be responsible for:
Assign sales leads to Arbor Advisors based on established sales territories and availability.
Schedule production crews efficiently based on required equipment, route efficiency, customer urgency, etc.
Process daily invoices, manage autopay enrollments, and ensure timely invoice delivery to customers.
Manage and accurately track all clients, contracts, invoicing, expenses, and data management associated with projects in the branch.
Skills & Qualifications:
Communication – you have strong interpersonal skills for customer interactions and cross-team collaboration.
Computer proficiency – you have experience with CRM software (SingleOps preferred) and Microsoft office.
Problem solving – you can resolve scheduling conflicts and customer concerns
Experience – ideally you have 2+ years of experience in sales coordination, operations, or customer service. Arboricultural experience is a plus.
