Role: As a Travel Coordinator, you have the unique opportunity to ensure that Nuvia travel patients are being taken care of and helping them with every step on an operational and clinical level to get them into one of our many Nuvia locations to help fill schedules and help patients around the country.
Responsibilities:
- Paperwork/New Travel Patients: Getting a new travel patient consists of several things to do: filling out new patient paperwork ASAP, adding all patients sold to National tracker, and starting the medical clearance email ASAP to get the process moving quickly.
- Treatment Prep Appt: A virtual 30-45 minute Doxy call is scheduled by your assigned smile consultants to book surgery dates if the patient is good to get surgery within the next 6 weeks. Patients need to have received a “yes” from the teeth pictures from the local restorative Dr. being sent to.
- This call is jam packed with information! Reviewing the new patient paperwork, medical clearance process, collecting funds, travel insurance form and continued care consent, explaining the surgery week breakdown, and making sure they understand the importance of consent videos and all aspects of the travel process.
- Communication with Travel Patient: Travel coordinators will handle all communication with the patient until they walk into their center for surgery week. This includes answering any questions, communicating to local GM, and more. Travel coordinators will work closely with their assigned smile consultant regarding patient’s cases and finances.
- Medical Clearance: The number one priority for each patient is the medical clearance process. Getting the MRR signed quickly and getting records as quickly as possible to ensure your patient is cleared in time for their surgery week. This takes alot of going the extra mile of finding specialists and appointments for your patients to get them to surgery as soon as possible.
- Understanding the schedule: Because you are the person coordinating your travel patient’s surgery week, having a good understanding of the schedule will be very important in giving patients the correct guidance where to be and when. You will be scheduling all your patients, so knowing how to schedule effectively will be very important to the success of the schedule on behalf of the GM in that center. Following the block schedule will be important in making sure the schedule flows correctly.
- Detail orientation must be almost to perfection due to the complexity of working with over 30 Nuvia locations with all your patients to ensure you are setting patients up on confirmed surgery availability with the correct surgeon.
- Understanding Cliq, National Tracker, Medical Clearance, NOS
- Lead a team of smile consultants: When your assigned smile consultants’ patients accept treatment, you are next in the funnel to provide a 5 star patient experience. You will meet weekly and communicate daily with your smile consultant to collaborate on several patient’s cases for their next steps. Must be positive, willing, and understand your role in collaboration with the sales department. Positive teamwork is crucial to the success of treatment accepted and continued happy patients.
- Must be capable of having a hard conversation with a patient and managing them in a way that benefits all parties involved.
- Daily EOD completed tracking your patient’s cases and their movement in the process
- Willing to help your patient with an emergency regarding surgery prep or traveling outside of requiring hours (clarify, this is paid time)
- Anything else as required by your Manager.
Requirements:
- At least 40 hours a week
- Demonstrate exceptional customer service, almost like a friend helping them
- Have high social intelligence to navigate complex situations with patients and local teams
- Be proactive to problem solve issues with the travel team that arise.
- Be able to have hard conversations with patients
- Understand and live by Nuvia company values.
- Good relationship with national department: travel coordinators and all national smile consultants
