The Workplace Executive is responsible for delivering a high-quality, seamless workplace experience in the Melbourne office. This role serves as the primary on-site contact for employees, vendors, and stakeholders, ensuring smooth daily operations, effective facilities coordination, and a safe, engaging work environment.
Responsibilities
Workplace Operations & Facilities Management
Manage day-to-day workplace operations, including service requests, maintenance, and office functionality
Monitor and respond to facilities issues through internal systems (Eptura), ensuring timely resolution
Conduct regular site walk-throughs to maintain workplace standards, safety, and cleanliness
Support basic facilities tasks such as workspace setup, minor repairs coordination, and AV support
Vendor & Stakeholder Coordination
Coordinate with external vendors, contractors, and building management for maintenance and services
Build and maintain strong relationships with landlords, property management, and service providers
Partner with internal teams (e.g., ESE, GSOC, People Team) to support cross-functional workplace needs
Employee Experience & Engagement
Act as the primary point of contact for employees regarding workplace-related needs
Support and coordinate workplace events, activities, and initiatives
Communicate workplace updates, policies, and service changes to employees
Health, Safety & Compliance
Ensure compliance with workplace health and safety standards and local regulations
Participate in emergency response activities and support safety programs
Maintain awareness of building policies and ensure adherence
Additional Responsibilities
Support mail handling, logistics, and general office services as needed
Provide remote backup support for other locations in Australia Workplace Operations or WPT functions if required
Be available for on-call support in case of workplace emergencies
Minimum Qualifications
Experience in workplace, facilities, or office operations (typically 2–5 years)
Strong coordination and vendor management skills
Customer-focused mindset with strong communication abilities
Ability to manage multiple priorities in a fast-paced environment
Basic understanding of workplace systems, safety practices, and office technology

Able to work independently as the on-site representative in Melbourne while aligning with the broader Australia team
