The role
This is an exciting opportunity to partner with a Vice President and leadership team, driving efficiency, coordination, and seamless execution across a fast-paced, highly visible function. A high-impact role at the heart of our Medical APAC leadership team, where your work directly enables senior leaders to operate at their best across the region.
What You Will Do
- Manage complex executive diaries, prioritising competing demands and protecting time to enable delivery of key business objectives
- Coordinate domestic and international travel, ensuring compliant bookings, detailed itineraries, and seamless logistics across APAC
- Process and reconcile expenses accurately and on time in line with company policies
- Plan and deliver regional leadership meetings, including agendas, documentation, logistics, and follow-ups to drive outcomes
- Organise internal and external events, including congresses and industry meetings, managing suppliers, budgets, compliance documentation, and timelines
- Support healthcare professional engagements by coordinating contracts, travel, payments, and compliance requirements
- Maintain operational workflows such as vendor setup, invoice processing, and distribution lists to ensure smooth team operations
- Track and manage executive priorities using structured tools (e.g., trackers, dashboards), ensuring visibility of upcoming commitments and deliverables
What You Will Need
Required Qualifications
- Minimum 5 years’ experience supporting senior executives in a Team Assistant or Executive Assistant role
- Minimum 3 years’ experience managing complex diary, travel, and expense coordination
- Minimum 3 years’ experience coordinating meetings, events, or conferences, including logistics and stakeholder management
- Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Demonstrated experience managing multiple workstreams simultaneously in a fast-paced environment
Preferred Qualifications
- Experience working in healthcare, medical devices, pharmaceuticals, or other regulated industries
- Experience supporting regional or APAC teams across multiple time zones
- Experience coordinating large-scale congresses, exhibitions, or sponsorship-based events
Additional Information
- Location: St Leonards, NSW (hybrid work arrangement)
- Travel: Domestic travel approximately once per month; international travel every 2–3 months across APAC
- Requires flexibility to support stakeholders across multiple time zones
Travel Percentage: 20%
