Responsibilities
Perform a wide variety of administrative and secretarial tasks to assist the sales executives.
Examples of Duties (includes but not limited to the following):
Plan, coordinate, and execute all VIP site inspections, ensuring a highly personalized and detail-oriented experience.
Partner closely with Sales Managers and leadership to understand client needs, preferences, and business objectives prior to each visit.
Develop customized site itineraries, including guest room tours, meeting space walkthroughs, and curated experiences across the property.
Coordinate with internal departments (Front Office, Housekeeping, Food & Beverage, Culinary, Engineering, and Security) to ensure readiness and execution of site visits.
Serve as the on-site host for VIP clients, delivering a polished and engaging presentation of the property.
Ensure all areas of the hotel are presenter to the highest standard, including cleanliness, staging, and service readiness.
Collaborate with Culinary and F&B teams to arrange tastings and bespoke experiences as part of the site inspection.
Anticipate client needs and proactively resolve any issues to ensure a seamless experience.
Maintain detailed records of site visits, preferences, and feedback to support future business opportunities.
Follow up with Sales teams post-visit to ensure alignment and support conversion efforts.
Continuously identify opportunities to enhance the VIP experience and elevate presentation standards.

Qualifications
- Computer literate.
- Good writing, analytical and problem-solving skills.
- Knowledge of principles and practices of organization, planning, records management, and general administration.
- Ability to communicate effectively.
- Ability to operate standard office equipment, including but not limited to, computers, telephone systems, typewriters, calculators, copiers and facsimile machines.
- Ability to follow oral and written instructions.
- Bachelor's degree in hospitality management, Business, or related field preferred.
- Minimum 3-5 years of experience in hospitality, sales, or event management.
- Experience in luxury hotel or resort environment strongly preferred.
- Previous experience in site inspections, sales coordination, or guest experience roles preferred.
- Exceptional communication and interpersonal skills.
- Strong organizational and project management abilities.
- Ability to anticipate needs and deliver proactive solutions.
- Knowledge of hotel operations, including rooms, F&B, and events.
- Strong presentation and storytelling skills.
- Proficiency in Microsoft Office and sales systems (Delphi, Opera, or similar preferred).
