What This Job Involves
Office Services
Visitor Management: Provide guidance and assistance to visitors, manage visitor registration and contact business units as needed, distribute visitor cards
Meeting Room Coordination: Monitor meeting room availability, assist with booking requests and scheduling
Building Access & SWAG: Prepare welcome packages for new employees and visitors, coordinate building access cards
Business Card Management: Coordinate business unit requests, manage vendor relationships, send pickup notices and reminders
Mail & Parcel Services: Handle incoming and outgoing mail and parcel deliveries, coordinate shipment logistics
General Support: Provide arrangement assistance and problem-solving support for various office needs
Food and Beverage Services
Meal Coordination: Assist with meal ordering processes, conduct restaurant surveys, and facilitate order placement
Food Program Management: Support food program operations, review quality and billing, process payments
Office Supplies & Security
Inventory Management: Monitor and order stationery and office supplies as needed
Access Control: Manage building access card system, perform regular updates and maintenance
Key Management: Oversee key distribution and management for lift cards and facility access
Required Qualifications
Proven experience as a receptionist or in a similar customer service role
Excellent English proficiency (both written and verbal communication)
Proficiency in Microsoft Office Suite and basic computer skills
Qualifications and Skills
Diploma or equivalent qualification
1-2 years of experience in facilities management or administrative role (preferred)
Strong organizational and multitasking abilities
Excellent communication skills in English and Chinese
Proficiency in Microsoft Office applications
Problem-solving mindset and proactive approach
Attention to detail and follow-through capabilities
