Responsibilities:
In this role you will work in partnership with a Senior Client Support Officer, Client Managers and the entire administration team to provide comprehensive support to our clients. You will also manage a broad range of administrative and client support functions to ensure seamless client service. The key responsibilities include -
- Build and maintain strong client relationships.
- Collaborate with the team to achieve goals and ensure we deliver exceptional client service.
- Be a problem solver
- Anticipate needs, identify problems, and use initiative to find solutions.
- Track the flow and capacity of work in office and be able to prioritize the required outcomes
- Liaise with clients to arrange their work to be completed or information provided on time
- Collate and professionally present client reports and outgoing correspondence within required timeframes
- Ensure documents sent for signature are followed up and lodged in a timely manner, ensuring adherence to strict deadlines
- Undertake corporate secretary duties including preparation and lodgment of required ASIC forms
- Establishment of Trust and Company entities
- Administer the onboarding and offboarding of clients
- Maintain accurate and up-to-date databases, including adding new clients, updating client details, and accurate filing of documentation.
- Assist with incoming calls, greeting clients and visitors, and provide backup reception support if required.
- Undertake general administrative tasks as directed, contributing to smooth day-to-day operations.
What you'll need to succeed:
- At least 2+ years of previous experience in an administration role
- Team players, collaboration is key in this role
- Must have effective time and priority management skills and be able to plan effectively
- Be a strong self-starter who takes initiative
- Excellent communication and interpersonal skills
- High attention to detail and accountability
- Good working knowledge of all Microsoft Office applications and ability to quickly adapt to change and new software
- A growth and continuous improvement mindset
- A willingness to think outside the box
