About the opportunity
The Functional Specialist provides specialist knowledge across workforce management, rostering systems, and workforce related payroll processes and outcomes to support the successful delivery of the Optima Workforce Management solution at Mercy Health. Two positions are available under this PD with both roles requiring a strong healthcare background and demonstrated project experience. Reporting to the Functional Solution Architect, the role spans requirements gathering, data collection, system configuration, testing, training, change support, and knowledge transfer across all project phases.
The Functional Specialist will work closely with the Functional Solution Architect, project stream leads, operational teams, and the vendor across all phases of the project. The role plays a critical part in knowledge transfer and building internal capability to sustain the solution post implementation

To thrive in this role, you will have:
Essential
Significant, demonstrated experience working within a healthcare or aged care environment (acute, sub acute, community, or residential aged care) is essential. Candidates without this background will not be considered.
Proven, hands on experience across the full lifecycle of a WFM, rostering, or related system implementation project, including active participation in requirements gathering, workshops, data collection, configuration, testing, training, and go live. This is a non negotiable requirement.
In depth knowledge of rostering or workforce management systems, with hands on configuration or implementation experience; experience with Optima (comparable WFM platforms considered).
Working knowledge of healthcare or aged care Modern Awards and Enterprise Agreements, including an understanding of how award obligations translate into rostering rules, pay calculations, and time and attendance configuration.
Strong understanding of how rostering and WFM systems integrate with payroll and HRIS platforms, including data flows, award interpretation, and time and attendance processing.
Demonstrated experience leading or actively participating in system testing activities, including the design of test scripts, execution of test cases, defect logging, and coordination of UAT with operational stakeholders.
Experience designing and delivering end user training in a system implementation context, including the development of training materials suited to a range of audiences and technical literacy levels.
Demonstrated ability to plan and facilitate effective requirements gathering workshops and design sessions with diverse stakeholder groups.
Proven ability to communicate, influence, and build relationships across all organisational levels, including frontline staff, clinical managers, payroll and HR teams, and senior leaders, adapting communication style to suit the audience and context.
Strong analytical and problem solving skills with the ability to translate complex operational requirements into system configuration.
Experience producing high quality project documentation including functional specifications, test scripts, configuration guides, and process maps.
Desirable
Experience with Optima, including familiarity with rostering configuration, award interpretation modules, demand modelling, mobile/ESS features, or time and attendance settings.
Experience working on large scale, multi site WFM transformation programs in healthcare.
Background in payroll operations or payroll system implementation within healthcare, with an understanding of the rostering to payroll data flow and payroll integration design.
Familiarity with Workday HRIS and PayGlobal payroll system integration patterns.
Experience working on programs with multiple concurrent workstreams or site by site rollouts.
Background in healthcare operations, nursing leadership, workforce planning, or scheduling management.
Relevant tertiary qualifications in health management, information systems, HR, or a related discipline.
