Key Responsibilities
The Physician Services Scheduling Assistant Supervisor is responsible for all supervising, training, and coaching of Physician Services schedulers of the Practice. The Physician Services Scheduling Assistant Supervisor oversees the scheduling and provider routing for all clinical staff while verifying proper data entry for each patient visit is accurate and complete. The Physician Services Scheduling Assistant Supervisor resolves issues relating to provider schedules or facility and family requests. The Physician Services Scheduling Assistant Supervisor has significant knowledge and understanding of creating productive and efficient schedules for the providers.
In this role you will be responsible for:
- Supervises Physician Services schedulers in the Practice to ensure proper routing, visit type, service site, provider and financial center is accurate.
- Completes training for new Physician Services schedulers in the Practice educating the Physician Services schedulers on productive and efficient scheduling expectations.
- Resolves all issues relating to schedules such as unproductive schedules or schedules needing to be re-routed due to urgent needs.
- Contacts patient via phone to make provider appointments, ensures patient’s acceptance of date for visit and any unusual circumstances relating to times of visit necessity.
- Contacts senior living community and/or assisted living facility where patient resides to make and confirm appointments for patient/resident. Contact will be via email, phone, facility portal or facsimile with the appropriately designated person at the facility.
- Consistently exhibits behavior and communication skills that demonstrate Optimal Care Physician Services commitment to “Expect Exceptional” with every customer.
- Performs job in compliance with agency policies and procedures while maintaining confidentiality in all aspects of the job.
- Moderate travel is required. Occasional off-site meetings, training sessions, and visits to other locations are necessary and are a routine part of the position.
Required Qualifications
- High School Graduate or GED equivalent
- Previous office experience, preferably in a physician practice with experience in scheduling
- Excellent verbal and written communication skills
- Must be able to communicate professionally with all levels of the organization
- Basic computer skills
- Ability to read maps with general knowledge of the demographic area
- Reliable transportation and valid automobile insurance coverage
Desired Qualifications
- Bachelor's Degree preferred
- Medical Assistant or Certified Nurse Aid Certification is preferred

Pay Range
