Interim Office & Project Coordinator

This role is based in Stockholm and it is 12 months fix-term contract.

Your Role

This is an interim position based in Stockholm city, where you will be part of a collaborative, international team across Europe. In this role, you will take a central position in shaping our new office environment and key projects connected to culture, onboarding and offboarding, employee experience, and workplace coordination in both office and remote settings. 

Your Responsibilities

• Own and develop the employee experience across both in-office and remote/hybrid settings
• Drive and contribute to workplace culture through initiatives that strengthen engagement and belonging
• Coordinate onboarding and offboarding across multiple European markets in close collaboration with the People & Culture function
• Own and continuously improve the day-to-day office setup, including facilities, suppliers, and IT equipment
• Plan and deliver internal events, meetings, conferences and off sites.
• Act as a trusted point of contact for colleagues and external partners, ensuring alignment and smooth collaboration
• Maintain and improve administrative processes with accuracy and structure 

Your Profile

We are looking for a service-minded, structured, and proactive person with strong interpersonal skills. You enjoy working closely with others, keeping things organised, and creating a positive and engaging experience for employees across the organisation. You are hands-on and comfortable taking ownership in a dynamic environment, and you bring a strong ability to plan, prioritise, and follow through on tasks and initiatives. 

We believe you bring: 

• Experience from office coordination, workplace management, administration, or similar roles
• Experience supporting people-related processes such as onboarding, offboarding, or employee experience
• Strong project coordination skills with the ability to plan, prioritise, and drive tasks from start to finish
• Strong organisational skills and ability to manage multiple tasks and stakeholders
• A proactive and solution-oriented mindset, with an interest in improving processes and ways of working
• Strong communication skills and fluency in Swedish and English 

It is a plus if you have:

• Experience from a scale-up or fast-growing environment
• Experience working in an international organisation
