Role Responsibilities
The Referral & Outreach Manager responsibilities include, but are not limited to:
• LMA (Leadership, Management, and Accountability): Provide oversight and leadership for the referral and outreach team, fostering a high-performance, collaborative culture. • Process Design & Auditing: Develop, document, and conduct systematic audits of standard operating procedures (SOPs) for both referral intake and outreach to ensure service consistency and regulatory compliance. • Outreach Strategy Development: Formulate, implement, and refine outreach strategies, providing the team with the tools and messaging required to effectively engage referral sources and medical partners. • Referral Lifecycle Management: Manage the end-to-end referral process, serving as the high-level point of contact for issue escalation, bottleneck resolution, and complex workflow optimization. • Cross-Departmental Collaboration: Partner with the clinical and medical teams to ensure that outreach efforts align with operational capacity and clinical availability, smoothing the transition from referral to appointment. • Market Analysis & Expansion: Monitor market trends and competitor activities to identify new referral opportunities and provide recommendations for strategic regional expansion. • Productivity & Software Optimization: Drive software-based improvements to maximize team efficiency, ensuring seamless integration between CRM outreach tracking and clinical intake systems. • Performance Assessment & Coaching: Regularly evaluate team KPIs, conduct performance reviews, and implement tailored coaching initiatives to bridge skill gaps and drive individual growth. • Operational Reporting: Develop and maintain high-level dashboards tracking referral volumes, conversion rates, outreach ROI, and operational KPIs, translating findings into actionable strategy.
Role Qualifications
• Bachelor’s Degree in Business Administration, Healthcare Administration, or a related field; a Master’s degree (MBA or MHA) is an asset. • Minimum 3–5 years of experience in operations, outreach, or healthcare management, with a proven track record in high-volume environments. • Extensive proficiency in CRM software, data analytics platforms (e.g., Tableau, Power BI), and advanced Excel for reporting and strategic analysis. • Proven leadership experience, specifically in coaching, mentorship, and managing distributed or multi-site teams. • Strong understanding of healthcare compliance and medical referral workflows. • Exceptional analytical skills with the ability to translate complex data into actionable strategies for market feasibility and staffing optimization.
