Job Summary:
The Supplements Coordinator manages supplements for exteriors. The Coordinator will work closely with contractors, carriers, estimators, and QA specialists, as well as the Sales and Production, Warranty, and Material Audit teams to maintain an efficient workflow and ensure that carrier guidelines and expectations are met.
General Responsibilities:
- Support the supplement team, manage workload and supplement assignments to balance priorities and deadlines.
- Review all supplement submissions to ensure accuracy, thorough documentation, and adherence to insurance carrier guidelines.
- Verify and validate subcontractor bids and pricing for accuracy and alignment with job scope before including in supplements.
- Train new and existing team members on supplement writing, documentation standards, carrier guidelines, and company SOPs.
- Write or revise supplements as needed, particularly for complex or high-value files, using Xactimate or Symbility.
- Monitor supplement processing timelines to ensure timely submission and escalate issues to maintain workflow efficiency.
- Act as a liaison with contractors and insurance carriers, negotiating supplement approvals and settlements to achieve optimal outcomes.
- Maintain accurate records and documentation within the company’s project management systems.
- Identify process inefficiencies, monitor key performance indicators (KPIs), and implement improvements to enhance department productivity and accuracy.
- Provide regular reports and updates on department performance to management.
- Flexible schedule with the ability to work nights and weekends during busy times, especially during CAT events

Requirements
Minimum Qualifications:
- A high school diploma or equivalent with significant relevant experience required.
- Minimum of 4 years’ estimating and supplement writing experience
- Ability to effectively prioritize tasks and stay organized
- Experience with Salesforce preferred
- Experience with Xactanalysis and Symbility required
- Experience negotiating with insurance carriers and contractors
- Solid grasp of construction terminology, scopes of work, and estimating practices
- Flexible schedule with the ability to work nights and weekends during busy times, especially during catastrophe events
- Ability to effectively solve problems and use critical thinking
- Leadership and team management capabilities
- Ability to train and mentor team members effectively
- Strong attention to details and organizational skills
- Ability to handle conflict in a professional and courteous manner
- Excellent verbal, electronic, and written communication, and customer service skills
- Ability to utilize technology devices, software and applications, previous experience with Microsoft Office Suites and basic computer skills required
- Reliable high speed home broadband internet connection with minimum 25 meg download and 10 meg upload speeds and ability to connect to home internet via ethernet cord is required if working remotely
