Role Summary
Reporting to the Program Manager, the Program Coordinator ensures the effective day-to-day operation of the project in Ontario while contributing to cross-provincial coordination with delivery partners in British Columbia and Nova Scotia. The Program Coordinator provides leadership and support to project staff responsible for operations, intake, registration, outreach, and data management. This role oversees workflows and data quality in OneClient CRM and supports consistent, high-quality participant experiences from intake through post-course follow-up.
EVolveSkills is a national Electric Vehicle training program and supported by eight delivery partners spanning Ontario, British Columbia and Nova Scotia and funded in part by the Government of Canada’s Sectoral Workforce Solutions Program. EVolveSkills will equip the workforce of small and medium-sized enterprises with the skills necessary to repair and maintain electric vehicles and prepare new entrants for careers in the EV sector. Over 1,000 individuals will receive training, helping create pathways for a sustainable and skilled workforce for the EV sector.
DUTIES & RESPONSIBILITIES
• Coordinate client intake and registration for Ontario upskilling and career exploration courses, including cohort scheduling with college partners, outreach and lead follow-up, course evaluations and client data management in OneClient CRM. • Recruit, onboard, and supervise Industry Engagement and Training Specialists, fostering a collaborative and high performing team environment and championing a OneAchev culture. • Coordinate team workflows and priorities, ensuring workloads are balanced and deadlines are met. • Provide guidance and training to staff to support participant intake, onboarding, check-ins, and post-course follow-ups in coordination with delivery partners to enable successful client course completion and provision of wrap-around supports where possible. • Maintain effective communication with partners, employers and community organizations to support successful course delivery. • Coordinate client cohort data entry in OneClient CRM and regularly review to ensure accuracy when reporting to college partners and the funder. • Coordinate funder dashboard reporting for Mohawk College, Durham College and Sheridan College. • Coordinate maintenance of Ontario-based employers lists for outreach, tracking and KPI reporting purposes. • Coordinate client and employer-facing events and information sessions. • Coordinate follow-ups to leads generated from marketing and referral activities. • Act as liaison between the program team and the internal Marketing & Communications department for posting updates to the website and social media. • Coordinate the creation and dissemination of digital and print marketing materials, ensuring brand alignment, funder acknowledgement and message consistency. • Maintain an inventory of project marketing activities and deliverables (outreach activities, marketing events, flyers, campaigns, etc.). • Support the Program Manager in presenting program updates to stakeholders and representing EVolveSkills at meetings or industry events when required. • Contribute to the documentation of best practices, stakeholder feedback, and lessons learned to support quality assurance and continuous improvement. • Champion Achēv’s organizational initiatives, policies and practices. • Hybrid role; minimum two in office days per week. • Travel occasionally required within Ontario and periodically to British Columbia and Nova Scotia.
QUALIFICATIONS • Degree or diploma in Social Sciences, Adult Education, Business or related field. • Minimum of 3 years of experience in program coordination, workforce development, or training-related roles. • Proven ability to work with diverse stakeholders and multi partner projects, preferably in cross provincial contexts • Staff supervisory experience or demonstrated informal leadership experience (e.g., mentoring peers, leading team initiatives, acting assignments, or supporting new staff). • Familiarity with workforce development, Canada’s green economy, or the EV/automotive sector is considered an asset. • Strong communication, interpersonal, problem-solving and organizational skills • Strong proficiency in MS 365 (Excel, Word, PowerPoint and MS Teams), Zoom and Canva • Valid driver’s license, vehicle for local travel and flexibility to occasionally travel across Canada to stakeholder meetings and conferences. Ability to work flexible hours, including evenings or weekends as required.
Salary rate: $69,939.53
