Position: Administrative Assistant, By-law Enforcement Department: Planning and Development Services Division: Municipal By-law Enforcement Reports to: Supervisor of By-law Enforcement
Planning and Development Services This department assists and advises the public, land stakeholders, government agencies and Council on matters related to land use planning and development, municipal by-law enforcement, and animal control services.
Municipal By-law Enforcement This department is responsible for the enforcement of the City’s Zoning, Parking and Property Standards, Yard Maintenance, Body Rub Parlour, Littering, Sign and Noise By-laws.
Purpose and Scope: Reporting directly to the Chief Building Official, the Administrative Assistant, By-law Enforcement is responsible for providing administrative support to the Supervisor of By-law Enforcement, Chief Building Official (CBO)/ Manager of Building Services and By-law Enforcement staff.
Duties and Responsibilities The position will:
• Reconcile monthly By-law revenue to general ledger accounts. • Maintain confidentiality of information to and from the department. • Research and prepare for Chief Building Official’s signature compliance letters and work order requests. • Attend special meetings as required to act as recording secretary. • Update By-law information and forms to the City’s website. • Type, file, photocopy and send By-law documents including correspondence, reports and memos. • Ensure adequate quantity of office supplies is maintained in cooperation with the Administrative Assistants. • Receive and respond to By-law enquiries via telephone, email, and assist with general counter inquiries as required. • Schedule and coordinate appointments, meetings and inspections. • Assist in the maintenance of the Planning and Development Services Department records management system. • Be responsible for retrieving and storing information in accordance with the City’s records retention schedule. • At Managers direction provide administrative support to the By-law Division. • Demonstrate a commitment to learning and overall professional development. • Follow all guidelines for employees and employers as legislated under the Ontario Occupational Health and Safety Act, other applicable legislation, best practices, City policies and procedures where applicable.

Education/Specialized Training/Skills: The position will require:
• Two (2) year community college Diploma preferably focused on office administration or a relevant field. • Demonstrated organizational skills. • Effective communication skills, both verbal and written. • The ability to multitask in a busy environment with a proven focus on service delivery. • Demonstrated computer skills.
Nice to Have:
Although not required, the following would be considered an asset to the position.
• The ability to communicate in both English and French.
Work Experience:
The position requires a minimum of two (2) years of experience in an office environment with special emphasis on municipal and by-law enforcement issues. Communication and public relations skills are required as well as a commitment to understanding and meeting customer/community needs.

Although not required, the following would be considered an asset to the position:
• Previous municipal environment.
Decision Making: The position is responsible for providing accurate and timely reports to the Chief Building Official.
Supervision: • Not applicable.
Work Environment: • Work in an office environment on a regular basis. • Attend evening Committee meetings when required.
