JD for Administrative Assistant
Job purpose
To support the project and daily general service operation of Fragrance Guangzhou site.
Core responsibilities
1. Project logistics
- Provide comprehensive administrative and logistical support for project activities, ensuring efficient coordination and seamless execution.
- Arrange meeting rooms, catering, transportation and accommodation for project participants.
- Support office fit-out and relocation activities, including the organization of furniture, materials, and equipment to facilitate smooth workspace transitions.
2. Office environment management
- Conduct regular inspections of office facilities, equipment, and systems to maintain an organized, safe, and efficient work environment. Identify issues proactively and coordinate timely resolution to minimize business disruptions.
- Collaborate with engineering teams for maintenance and repairs as needed.
- Supervise pest control services in office building to maintain cleanliness, hygiene and comfort.
3. Indoor plant and outdoor landscape management
- Oversee the care and maintenance of indoor plants and outdoor landscapes to sustain a healthy and pleasant work environment.
4. Office equipment management
- Monitor the usage and performance of office equipment, including all-in-one machines, coffee machines, refrigerators, microwaves, and disinfectors, to ensure reliable daily operation.
- Track printing volumes, verify monthly costs, and coordinate timely maintenance or repairs to minimize disruptions and support efficient workflow.
5. Event & activity support
- Assist in planning and organizing employee events, such as birthday celebrations, festival gatherings, team building and annual party.
- Design attractive promotional materials (e.g., posters, short videos, articles) to engage employees and support internal event communications.
