JOB TITLE: Maintenance Planner
DEPARTMENT: Maintenance
REPORTS TO: Facilities and Maintenance Engineer
DESCRIPTION: The Maintenance Planner is responsible for preparing high-quality, executable maintenance work packages and for developing and maintaining the maintenance schedule to support safe, reliable, and efficient maintenance execution at this facility. This role ensures maintenance work is fully defined, planned, permitted, kitted, and ready before being scheduled, enabling predictable execution during normal operation, campaigns, grade changes, and planned outages.
The Maintenance Planner works closely with the Facilities and Maintenance Engineer, Maintenance Manager, Quality, Production, and Supply Chain to ensure maintenance readiness aligns with production campaigns and plant priorities.
ESSENTIAL DUTIES:
Safety, Health & Regulatory Compliance
Ensure all planned and scheduled maintenance work complies with OSHA, EPA, and local regulations, as well as company EHS and quality standards
Incorporate safety requirements into job plans including LOTO, hot work, confined space, and chemical exposure controls
Confirm that only planned, permitted, and safety-ready work is scheduled
Ensure permit and safety requirements are clearly defined in work packages
Support mechanical integrity and process safety objectives
Schedule Development & Management
Develop and maintain daily and weekly maintenance schedules
Align maintenance schedules with production campaigns, batch windows, and grade changes
Balance labor availability, craft skills, equipment access, and operational constraints
Work Planning & Job Package Development
Develop detailed job plans for corrective, preventive, and predictive maintenance
Define work scope, labor estimates, tools, materials, permits, and procedures
Create standardized job plans for recurring work and campaign-specific activities
Ensure job plans are technically accurate and executable in the field
Incorporate lessons learned and supervisor feedback into future job plans
Spare Parts, Materials & Inventory Management
Identify required materials and spare parts for planned maintenance work
Order parts and materials in accordance with planning timelines and campaign schedules
Coordinate with Procurement and Supply Chain on vendor selection, pricing, and delivery
Identify and manage long-lead and critical spare parts
Maintain appropriate inventory levels to balance reliability, cost, and storage constraints
Ensure spare parts are correctly identified, labeled, and stored
Support cycle counts, inventory audits, and obsolescence reviews
Maintain accurate spare parts data in the CMMS
Kitting & Work Readiness
Identify long-lead items and manage planning timelines accordingly
Ensure work orders are fully kitted and ready before scheduling
Minimize delays due to material shortages or incorrect parts
Preventive Maintenance & Asset Strategy
Develop, maintain, and optimize PM job plans
Review PM effectiveness based on failures and feedback
Ensure PMs align with mechanical integrity requirements and reliability strategy
Support predictive maintenance activities where applicable
Schedule Performance Tracking
Track and report schedule compliance and attainment
Identify causes of schedule deviations
Support corrective actions to improve schedule discipline
CMMS & Data Management
Maintain maintenance schedules and work order status in the CMMS
Ensure accurate labor, duration, and resource data is used for scheduling
Support data integrity and reporting accuracy
Use CMMS scheduling tools effectively
Continuous Improvement
Identify opportunities to improve scheduling efficiency and predictability
Support reduction of reactive and emergency maintenance
Improve coordination between maintenance and operations
Support reliability and cost-control initiatives
QualificationsMINIMUM REQUIREMENTS:
Three (3) years prior experience in a mechanical related environment preferred, but not required
Knowledge of maintenance operations, including but not limited to mechanical systems, maintenance inventory, maintenance tools, etc.
Ability to plan, prioritize, and assign work to meet schedules and timelines in a fast-paced environment
Ability to schedule, assign and review maintenance work in a conducive manner
Ability to understand service work orders and parts inventory
Ability to shift priorities as circumstances arise
Strong communication skills; verbally and in writing, internally & with vendors/contractors
Strong computer skills including word processing and spreadsheets
Strong attention to detail
Exceptional organizational skills to manage related files and records
