About the Role
We are seeking a proactive and highly organised
Facilities Coordinator / Buildings Manager to oversee the day-to-day running of
two buildings in Theale. This is a key role ensuring the smooth, safe, and efficient operation of our facilities while delivering an exceptional customer experience to all tenants and visitors.

Key Responsibilities:
Customer Service & Tenant Support
- Act as the first point of contact for tenants, visitors, and contractors.
- Provide exceptional customer service, ensuring a welcoming and professional environment at all times.
- Coordinate tenant queries, resolve issues promptly, and maintain strong tenant relationships.
- Manage meeting room bookings, visitor sign-in, and reception cover when required.
Building & Facilities Management:
- Oversee the daily running of two buildings, ensuring they remain safe, compliant, and well-maintained.
- Conduct regular building inspections, identifying and addressing any maintenance needs.
- Coordinate planned and reactive maintenance with contractors and suppliers.
- Monitor and manage utilities, building access, security systems, and cleaning services.
- Ensure the buildings are compliant with company policies, legal standards, and health and safety regulations.
Health & Safety:
- Assist with on-site Health & Safety management across both buildings.
- Conduct and update Risk Assessments and Fire Risk Assessments.
- Support fire drills, emergency procedures, and safety training.
- Ensure statutory testing, permits, and compliance documentation are maintained and up to date.
- IOSH qualification desirable (or willingness to work towards).
Financial & Administrative Duties
- Process invoices, purchase orders, and maintain budget trackers.
- Keep accurate records of maintenance logs, compliance documents, and supplier contracts.
- Liaise with finance teams regarding facility-related expenditure.
- Manage stock levels for consumables and proactively reorder supplies.
General Duties
- Support office moves, desk management, and space planning.
- Maintain high standards of cleanliness and presentation throughout the buildings.
- Oversee waste management, recycling, and sustainability initiatives.
- Ensure all visitors receive a warm and professional welcome.
Skills & Experience Required
- Previous experience in a facilities, buildings, or office management role.
- Excellent customer service and communication skills, with confidence interacting with tenants and visitors.
- Strong organisational skills and the ability to manage multiple tasks simultaneously.
- Knowledge of Health & Safety practices; IOSH desirable.
- Experience conducting Risk Assessments and Fire Safety Assessments.
- Ability to work independently and problem-solve effectively.
- Good IT skills and experience with invoicing or basic finance processes.
- Positive, proactive, and professional attitude.
