Health Records - Terra Losa - Client Services Client Services supports referring physicians, patients, and internal staff by providing comprehensive health records and imaging support services. The health records team ensures accurate handling and secure transmission of patient health information facilitating smooth clinical workflows while maintaining compliance with privacy standards. The role requires strong attention to detail, critical thinking, and a high level of professionalism when managing sensitive health information.

Role and Responsibilities Health Records & Imaging Support • Ensure accurate, timely, and confidential handling of medical imaging, reports, and related documentation • Hand-deliver reports - print and mail reports to offices that do not have fax or EMR delivery and as required, for fax reports that are undeliverable. • Monitor Active Fax for outgoing fax issues, investigate to ensure reports received. • Import/Export imaging Clinical & Administrative Support • Print and mail patient appointment reminder letters • Retrieve and distribute mail from TL physical mailbox • Mail report letters at the mailbox near Shoppers. • Adjust procedures as per policy when mail services disruption occurs. • Order supplies for equipment (printer & postage machine) as required • Trouble shoot equipment and if required, action for service. • Communicate with Associate sites and external providers as needed to clarify information and tasks. Communication & Task Management • Monitor, action & respond consistently to Health Records emails and Mris task lists. • Assist COS with calls for STAT reports to notify of incoming stat reports. • Utilize film tracking log to ensure accurate documentation • Read and interpret all assigned tasks thoroughly, applying problem-solving and critical thinking. • Use physical identifiers (Mris notes/status) to organize and track tasks and deliverables effectively. • Review processes and update as needed. Operational Support • Manage downtime efficiently by proactively assisting reception staff, performing light cleaning, or completing laundry duties as required. • Maintain compliance with privacy legislation and organizational policies when handling confidential patient information. • Other duties as required. Qualifications and Education Requirements Education: High school diploma or equivalent required. Post-secondary education in Health Information Management, Medical Office Administration, Healthcare Administration, or a related field is an asset. Experience: · Min. of 1–2 years of experience in a healthcare, diagnostic imaging, or health records environment preferred. · Previous experience working with medical imaging records, patient documentation, or referral processing is an asset. · Experience handling confidential health information in compliance with privacy regulations. · Experience in a multi-site healthcare environment is considered an asset.
