The Senior Officer – Outsourced Contracts supports the Manager – Outsourced Contracts in the post-contract management of strategic managed services contracts, including Facilities Management, shared services, air navigation services, customer services, and similar outsourced arrangements.
The role plays a critical part in ensuring effective commercial assurance, contract governance, monitoring, control, and reporting across managed services contracts. The position requires strong expertise in contract administration, facilities management, and stakeholder coordination to ensure service delivery, compliance with contractual obligations, value generation, and continuous performance improvement throughout the contract lifecycle.
Responsibilities
- Assist in preparing Contract Management Plans and RACI matrices.
- Establish and maintain contract management filing structures.
- Conduct contract kick-off meetings with awarded suppliers and end-user departments.
- Support transition planning, including demobilization of existing contractors and onboarding of new contractors.
- Ensure compliance with commercial and legal terms and conditions.
- Draft contractual correspondence, letters, and notices to service providers.
- Prepare and update commercial risk registers.
- Monitor and manage contractual documentation including insurance, warranties, bonds, and collateral.
- Support Project Managers in payment certification and monitor contract expenditure.
- Validate contract variations and support valuation, approvals, and execution.
- Monitor contract data, reports, and overall contract performance.
- Participate in cross-functional contract performance review meetings.
- Consolidate and monitor KPIs and service level performance in coordination with end-user departments.
- Review claims entitlements, valuations, and ensure recovery of penalties, back charges, and setbacks.
- Verify completion and handover of all contractual deliverables (technical and financial).
- Obtain novation of collateral warranties as required under the contract.
- Manage contract close-out activities, including outstanding claims, invoices, and recoveries.
- Prepare and issue the Final Account Statement and coordinate settlement of all amounts owed by or to each party.
- Coordinate with Project Managers to ensure completion of transition obligations by outgoing contractors.
- Monitor contractor performance through site visits, progress meetings, and stakeholder engagement.
- Maintain detailed records of contractor performance, deviations, delays, and incidents.
- Establish and manage feedback mechanisms for contractor performance evaluation.
- Assist in preparing contractor and supplier performance evaluation reports and scoring.
- Perform any other duties assigned by the Line Manager from time to time.
Requirements and Skills
Education & Qualifications
- Bachelor’s Degree in Contract Administration, Business Administration, Engineering, Quantity Surveying, or a related field.
Experience
- Minimum 5 years of experience in contract administration and post-contract management.
- Experience in Facilities Management and similar managed services contracts.
- Experience working within a client organization or client-facing contract management consultancy environment.
