The Project Officer is responsible for supporting the planning, coordination, and execution of projects to ensure alignment with organizational goals. The role involves proactively managing project timelines, resources, schedules, and stakeholder relationships while maintaining high standards of quality, compliance, and communication throughout the project lifecycle.
Responsibilities
- Maintain comprehensive and accurate project documentation, including plans, reports, and schedules. Ensure tasks are assigned, timelines are controlled, and project progress is clearly communicated to internal teams and external stakeholders.
- Assist in the planning, coordination, and execution of projects from initiation to completion, monitoring timelines, budgets, and deliverables to ensure adherence to organizational standards and objectives.
- Act as a primary point of contact for project-related inquiries, ensuring progress updates, feedback, and stakeholder information are communicated to the Project Manager or relevant team members. Escalate issues as necessary.
- Provide daily administrative support, including drafting correspondence, transmittals, memos, and other project-related documentation. Track and monitor critical documents for timely processing.
- Assist in the allocation and management of project resources, monitoring usage, tracking availability, and supporting resource scheduling to ensure efficiency.
- Collaborate with Project Managers to coordinate and facilitate weekly meetings, ensuring action items are documented, tracked, and completed on time.
- Compile and submit comprehensive weekly progress reports to management, clearly communicating project milestones and updates.
- Ensure all project documentation—such as schedules, reports, risk assessments, and change requests—is accurate, up to date, and compliant with audit and regulatory requirements.
- Liaise with internal project officers and assistants across divisions to coordinate weekly tasks and track action items.
- Track and monitor project financials, ensuring expenses align with the approved budget and reporting any discrepancies or potential overruns to the Project Manager.
- Support coordination with external vendors and suppliers to ensure deliverables meet project schedules and quality standards.

Education and Qualifications
- Bachelor’s degree
- Project Management certification preferred
Experience
- Minimum of 4+ years of professional experience managing project documentation, coordinating teams, and handling multiple tasks simultaneously in a fast-paced environment
