Job Summary
We are seeking a dedicated Employee Scheduling Coordinator to oversee and manage scheduling for Union Production Employees. The successful candidate will review daily vacation requests, manage weekly vacation schedules, maintain the Indeavor Database, assess staffing levels to ensure alignment with production demands, and effectively manage planned overtime.
Key Responsibilities
Daily Vacation Review:
- Evaluate and process daily vacation requests submitted by Union Production Employees.
- Ensure all requests align with union agreements, company policies, and staffing requirements.
Weekly Vacation Management:
- Adjust and manage weekly vacation schedules for Union Production Employees, ensuring fair distribution and adherence to union guidelines.
- Communicate any changes or updates to employees regarding their vacation status.
Indeavor Database Management:
- Maintain the Indeavor Database, including jobs, schedules, shifts, and employee qualifications.
- Ensure data integrity and accuracy within the database to support scheduling and vacation management.
Staffing Level Review:
- Review daily and weekly staffing levels to ensure alignment with production demands.
- Collaborate with production management to address any staffing gaps or adjustments needed for optimal production efficiency.
Planned Overtime Scheduling:
- Schedule planned overtime, typically two days in advance, to meet production needs.
- Run algorithms in Indeavor to fill volunteer sign-ups for overtime, reviewing results and making necessary adjustments.
Forced Overtime Identification:
- Identify employees who will need to be assigned forced overtime, ensuring compliance with union agreements.
- Communicate with managers and supervisors in a timely manner regarding forced overtime needs.
Policy Compliance:
- Stay informed about union agreements and company vacation policies, ensuring all requests are handled within these frameworks.
- Provide guidance to employees regarding vacation policies and available options.
Record Keeping:
- Maintain accurate records of vacation requests, overtime assignments, and approvals in the HR database.
- Generate reports on vacation usage, staffing trends, and overtime for management review.
Reporting and Analysis:
- Run reports from various systems to analyze data related to scheduling, overtime, and employee qualifications.
- Utilize advanced Excel skills to manipulate and present data effectively.
Communication:
- Act as the primary point of contact for Union Production Employees regarding vacation inquiries, scheduling issues, and overtime questions.
- Collaborate with union representatives and department managers to address staffing needs related to scheduling and vacation plans.
Qualifications:
- Education: Bachelor’s degree in Human Resources, Business Administration, or a related field strongly preferred.
Experience:
- Must be comfortable in an administrative role, and a unionized environment. Must be able to communicate with employees in a professional manner. Familiarity with scheduling software is a plus.
Skills:
- Advanced Excel skills and proficiency in running reports from different systems.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Attention to detail and problem-solving skills.
Schedule:
- 630am – 330pm Monday through Friday. Must be willing to work weekends and holidays as required by production schedule.
- Processing Hours: Schedule processing is required between 8:00 AM and 12:00 PM.
