Position Information
Job Responsibilities:
Project Operations & Coordination
Maintain and update project tracking systems (timelines, deliverables, Gantt charts, task lists) across assigned projects.
Maintain risk and issues log and track resolution through completion.
Work with PIs, partners, and subcontractors to confirm task completion and documentation compliance.
Serve as a primary point of contact for routine partner communications and meeting logistics.
Prepare briefing materials and summaries for meetings and distribute project status reports, meeting agendas, and action item trackers.
Update internal requests for proposals and coordinate the release, compilation, and review of submissions.
Budget & Financial Tracking
Track expenditures against budgets in collaboration with TWRI business staff.
Flag budget anomalies, upcoming expenditure deadlines, spend down, and no-cost extension needs.
Compile financial data for reporting periods and assist in preparation of budget revisions.
Proposal & Grant Support
Assist in compiling and formatting proposal components (narrative sections, budgets, CVs, letters of support).
Assist Grant Admins by maintaining proposal calendar and deadline tracker across funding opportunities.
Research sponsor guidelines, eligibility requirements, and past award data to support proposal strategy.
Coordinate subcontractor scope and budget inputs during proposal development
Assist with institute level reporting.
Data & Knowledge Management
Maintain organized digital filing systems for project documentation, contracts, and reports.
Support data collection logistics and quality assurance documentation as needed.
Assist with background research for project deliverables.
Bachelor's degree in business, management, or a related field.
3 years of project coordination or management experience, preferably in research, extension, or government-funded programs.
Credit toward or completion of PMP certification.
Experience with managing USDA, EPA, or other government funded programs.
Experience with grant proposal coordination and sponsor reporting requirements.
Required Knowledge, Skills, & Abilities:
Demonstrated ability to manage multiple projects simultaneously with competing deadlines.
Strong written and verbal communication skills.
Detailed organizational skills.
Proficiency in Microsoft Office Suite particularly Excel; comfort with project management tools.
Experience with or strong aptitude for budget tracking and financial reporting.
