A Day in the Life
Reporting to the Site Leader, this role is the operational backbone of the site. The ideal candidate is highly autonomous, discreet, and proactive — combining strong organizational skills with genuine people orientation to ensure an excellent employee and visitor experience.
Responsibilities may include the following and other duties may be assigned:
Site Leadership & Operations
- Provide high-level administrative and operational support to the Site Leader and Leadership Team (calendar management, correspondence, travel, expenses, approvals)
- Plan and coordinate Leadership Team meetings, Town Halls, offsites, and strategic sessions — including agendas, logistics, catering, and follow-up actions
- Oversee daily site operations: meeting rooms, visitor management, workplace logistics, and employee support
- Coordinate visitor and candidate experience: site access, parking, transportation, catering, and cleanroom procedures
- Ensure compliance with company policies across expenses, travel, purchasing, events, and vendor management
- Drive continuous improvement by developing templates, guidelines, and standardized practices that enhance site efficiency
- Handle confidential and strategic information with the utmost discretion and professionalism
- Support workplace health & safety as a certified on-site first aider
Communication & Employee Engagement
- Draft and distribute internal communications, announcements, and leadership presentations
- Facilitate communication between departments, management, and employees
- Coordinate employee recognition and milestone gestures (birthdays, farewells, births, bereavement, awards)
- Act as a trusted relay between employees and the Leadership Team — escalating relevant feedback and contributing to a positive site culture
Point of Contact & Purchasing
- Serve as the primary contact for internal and external stakeholders
- Manage general inquiries, calls, and emails and support employees with administrative and operational needs
- Create and manage Purchase Orders (POs); coordinate invoice follow-up
- Guide employees to organize internal events or initiatives by sharing best practices and connecting them with the right resources
Events & Visits
- Organize and coordinate internal events, workshops, team-building activities, and celebrations
- Manage all event logistics: scheduling, catering, room setup, materials, and transport
- Coordinate site visits for guests, candidates, and new employees
- Support ERG (Employee Resource Group) initiatives and events.
Required Knowledge and Experience:
- CFC in Business Administration (or equivalent), Federal Certificate, or Bachelor's degree, combined with solid experience (3–5 years minimum) in an administrative or executive assistant role, ideally in an industrial or international environment, with a strong ability to manage multiple priorities independently
- Excellent organizational and interpersonal skills: comfortable engaging with both senior leadership and all levels of staff, with a natural ability to build trust
- Strong sense of confidentiality, professionalism, and discretion when handling sensitive or strategic information
- Proficiency in Microsoft Office Suite and ease with administrative processes (purchasing, expense management, vendor coordination, and other related tasks)
- Fluent English required (written and spoken); ability to communicate effectively in a multicultural environment and produce high-quality internal communications.

This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP).
