The Community Associate - Architectural position is an important position on our team. This position will provide assistance to the Receptionist with phones, registering new residents and providing customer service to homeowners who visit the HOA office. This position will report to the Assistant General Manager and will provide secretarial support to members of the Association staff relating to Design Review. It is critical our team has an understanding, friendly and customer service approach with our residents.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Meets with residents, take trouble calls, direct residents to outside agencies when
required.
• Must be able to calm an upset resident and be professional at all times.
• Provide back-up to the Receptionist for phones, new resident paperwork, issuing of
member ID cards, guest passes and vehicle transponders.
• Accept and review Home Improvement Applications. Complete Agenda and minutes
for DRC meetings.
• Complete property inspections weekly. Update inspection report weekly.
• Complete permits and make copies of the Home Improvement application and
necessary documentation.
• Attend Design Review Committee as scheduled (currently, twice a month) and
Covenants meetings as requested.
• Process daily DRC violation reports.
• Send courtesy notices for non-compliance, ruling notices.
• Special projects often come up; the Community Associate - Architectural will be
asked to assist with them.
• Maintain the DRC violation summary report and generate a relevant list as upon
request.
Must be able to read, comprehend and follow oral and written instructions.
• Ability to write correspondence and respond to complaints and inquiries in a coherent
and readily understood manner.
• Ability to work as a team player in a professional environment.
• Proficient in Microsoft Office products Word, Outlook and Excel.
• Ability to maintain effective working relationships with homeowners and resolve
conflicts and problems courteously and tactfully.
• Ability to multi-task in a fast-paced environment with minimal supervision.
