Chemonics seeks a Sr. Associate, Operations for the USG Portfolio under the Supply Chain Management (SCM) team. The senior associate facilitates the use of sound management principles and tools in the operations of the business unit (BU). In this capacity, the senior associate will assist in addressing needs related to the establishment and maintenance of corporate as well as internal operational support systems. The senior associate will assume increasing project management and project administration duties and will provide training and coaching to other staff as assigned. The senior associate performs increasingly challenging operations assignments, applies technical knowledge appropriately in work activities, conducts short-term project assignments, and works on special projects as directed by supervisor. The Sr. Associate supports proposals and new business development efforts within a specific BU and company-wide.
Principal Duties and Responsibilities (Essential Functions)

• Assists in responding promptly to requests for support by coordinating with departments and teams to resolve operational issues and ensure compliance with policies and regulations.
• Prepares and files personnel documents, subcontract management documents, travel documents, and other standard documents and saves relevant files to Operations SharePoint files.
• Assists operations and project teams with talent management, recruitment, onboarding, and staff engagement.
• Follows up on assignment deadlines generated and managed by the leadership team and operations team for strategic initiatives and projects.
• Coordinates internal and external meetings, drafts agendas, and prepares background materials, and provides administrative support for senior leadership.
Prepares correspondence for HQ Operations team, senior leadership, and HQ teams.
• Supports financial management through providing inputs into monthly budget forecasting and related tasks.
• Supports contractual and financial closeout activities, including sending invoices and required backup documentation.
• Assists with archiving and audit preparation.
• Performs other duties as required.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. The requirements below represent the knowledge, skills, and/or abilities required.
• Bachelor’s degree or equivalent work experience
• Minimum 2 years of relevant administrative or professional work experience, project management experience preferred
• Strong administrative skills, word processing abilities, knowledge of MS Office applications, and attention to detail, ability to manage multiple competing priorities at once, excellent customer service skills.
• Experience with data entry, filing, cataloguing, retrieving, and preserving records preferred
• Communicates clearly and concisely in verbal and/or written communications; strong cross-culture communication and sensitivity skills
• Ability to work independently and as part of a team
• Demonstrated resourcefulness in problem solving and initiative to learn new skills
• Previous GHSC-PSM experience preferred.
• Demonstrates knowledge of artificial intelligence concepts and tools, with the ability to apply them appropriately and responsibly to support efficiency, decision‑making, and problem solving in a dynamic business environment.
