Summary Siddons-Martin Emergency Group is a national leader in emergency response vehicles and support services, committed to operational excellence, regulatory compliance, and the highest standards of workplace safety across our nationwide service center network. We are seeking a highly organized and detail-driven professional to join our HSE department team in Denton, TX as an HSE Administrator. This role serves as the operational and administrative backbone of the HSE Department, supporting insurance claims management, regulatory compliance, safety data tracking, and nationwide audit coordination. The position works directly with the HSE Director, field-based HSE Specialists, operational leadership, and insurance carriers. This is a professional-level position requiring strong organization, accountability, and analytical ability. This is not a Remote role, but an on-site based role in Denton, TX.
Duties & Responsibilities HSE Administrative & Operational Support • Provide direct support to the HSE Director and field-based HSE Specialists • Maintain safety databases, compliance records, and departmental tracking systems • Track inspections and corrective actions nationwide • Organize and maintain safety program documentation and reporting tools Insurance Claims & Risk Management • Manage and track all insurance claims (auto, property, workers’ compensation, liability, fleet) • Serve as primary liaison with carriers and adjusters • Maintain organized claim files and cost tracking reports • Provide leadership visibility into claim status, trends, and renewals Compliance & Program Support • Maintain OSHA, DOT/FMCSA, and regulatory documentation • Track training records and compliance metrics • Manage contractor compliance platforms (ISNetworld, Avetta, Veriforce, etc.) • Support CDL program documentation and safety software systems • Develop Excel-based safety reports and performance dashboards Fleet & Audit Support • Maintain fleet documentation and assist with vehicle-related claims • Track audit findings and corrective actions across service centers • Follow up to ensure timely resolution of safety action items • Support preparation for internal, client, and regulatory audits
Qualifications • Organizational skills with the ability to manage multiple claims, compliance tasks, and deadlines simultaneously • Strong attention to detail and accuracy in documentation, data entry, and reporting • Analytical mindset with the ability to identify trends and support risk management initiatives • Professional written and verbal communication skills; comfortable interacting with leadership, insurance carriers, and cross-functional teams • Ability to exercise sound judgment and maintain confidentiality with sensitive information • Proficient in Microsoft Office Suite, particularly Excel (reporting, tracking, dashboards); experience with claims or safety management systems preferred • Self-directed with strong accountability, follow-through, and time management • Adaptable and solutions-focused in a fast-paced, multi-priority environment
Education and/or Experience Required • High School Diploma or GED • 2+ years of experience in safety, compliance, claims, risk management, or administrative operations • Strong Microsoft Excel skills (formulas, reporting, tracking, dashboards) • Excellent organizational skills with demonstrated follow-through • Professional written and verbal communication skills • Ability to manage confidential and sensitive information • Self-motivated and able to work independently in a fast-paced environment Preferred • Associate’s or Bachelor’s degree in Business, Safety, or related field • Experience working with insurance carriers, adjusters, or claims systems • Familiarity with OSHA, DOT/FMCSA, or regulatory compliance processes • Experience with contractor compliance platforms (ISNetworld, Avetta, Veriforce, etc.) • OSHA 10 or OSHA 30 certification
