Shell Trading integrates a worldwide trading network with an unsurpassed global portfolio in Crude Oil, Refined Oil Products, LNG, Gas, Power & Environmental Products with larger locations in London, Houston, Calgary, Singapore, Dubai, Rotterdam, and Bahamas. The Contracts Operations team is responsible for managing the entire contracts process, including the provision of pre-deal and post deal commercial advice, contract drafting, internal authorization and dispatch of contracts/contract responses, records management, and value-driven commercial advice to the business when negotiating complex contractual arrangements.
The Senior Confirmations Coordinator will report to the Confirmations Team Lead and is responsible for supporting the Shell Energy (incl. Derivatives) trading desks by ensuring the validation of commercial deal entry in a timely and accurate manner and in accordance with business specific requirements, as well as drafting, dispatching and responding to confirmations and other related activity.
Purpose of the Role:
The Senior Confirmations Coordinator responsibilities include but are not limited to (i) preparing first draft confirmations from a template; (ii) emailing draft confirmations to customers, as well as completing follow-up for response, when applicable; (iii) preparing contracts, confirmations and other documents for electronic signature (or hard copy signature when required) (iv) obtaining internal approvals in accordance with contracts procedures and the manual of authorities; (v) maintaining the contracts database and storing executed contracts and confirmations records in appropriate systems; (vi) running daily reports and completing other activities related to transactions, and (vii) troubleshooting systems, resolving issues, and other miscellaneous duties.
Position Accountabilities
Generate confirmations from templates, and handling some non-standard confirmations, and associated queries.
Acts as a strong interface with Commercial, Trading, Credit, Legal, Contracts Advisors and other functions to ensure timely completion of pending contracts and confirmations.
Complete daily activities in accordance with established procedures and in compliance with Shell policies including SOX/KNS & Business Controls.
Ensure confirmations include Shell’s mandatory clauses, as applicable, and are compliant with all Global Shell policies.
Have strong understanding of commodity transactions and the ability to identify discrepancies in deal entry and/or transaction confirmations.
Possess an understanding of CARF principles and complete all CARF requirements for relevant confirmation. Ability to identify CARF standards and risk when deviating from Shell standard confirmations.
Process contracts for execution internally and externally.
Handle contract and confirmation queries from third parties, particularly where more complex, seeking advice from other Confirmations Coordinators or Contracts Advisors when required. Negotiate inclusion of Shell required terms and exclusion of non-compliant terms.
Where relevant, run and analyze various system reports to ensure financial control measures.
Partner with and provide strong support on special projects and tasks as requested by Confirmations Team Lead.
Provide mentoring and training to other Confirmations Coordinators.
Proactively identify efficiency and improvement opportunities to better streamline team processes and work as a conduit between Confirmations Coordinators and Confirmations Team Lead to drive delivery.
Develop advanced knowledge of Shell’s standard clauses, and an excellent understanding of the risks associated with modifications to Shell’s standard, as well as a sound broader understanding of oil operations and industry.
Experience and Qualifications required:
University degree preferred.
3 or more years of professional work experience. Prior experience in a commodity trading environment or the Oil and Gas industry is a plus.
Previous exposure to contracts and/or transaction confirmations processes and records management is a plus.
Ability to apply knowledge and work to resolve problems in collaboration with others.
Must possess a high degree of accuracy and strong attention to detail with ability to multitask.
Proven ability and experience working in a fast-paced team environment.
Ability to consistently carry out activities to the required standards.
Working knowledge and interaction between various departments.
Ability to recommend modifications and improvements to processes and controls.
Excellent customer service and interpersonal skills and proven ability to maintain a professional attitude when working under pressure.
