The Chief of Staff (CoS) / Admin & Ops Intern role is designed for a highly organized and detail-oriented individual who will provide essential administrative and operational support within a fast-paced executive environment.
This position plays a crucial role in ensuring smooth operations, effective communication, and efficient task management, ultimately contributing to the overall success of the team.
Roles & Responsibilities
- Coordinate meeting logistics, schedules, and follow-ups
- Assist with procurement and vendor coordination
- Assist with time-sensitive and ad hoc requests
- Maintain proactive communication and provide timely updates on task status and blockers
- Manage and organize internal documents, reports, and files
- Help prepare recurring Request For Payments
- Prepare, track, and reconcile expense reports
- Maintain accurate records of receipts, invoices, and reimbursements
- Support tracking and updating tasks in project management tools
- Follow-up on pending tasks to ensure smooth workflow across teams
- Assist in creating templates or SOPs for recurring tasks
- Assist with basic visual materials for internal use
- Help ensure documents and presentations are professionally formatted
Required Qualifications
- Highly organized and detail-oriented
- Comfortable working with Google Suite
- Responsive and reliable, especially when handling urgent or high-priority requests
- A self-starter who can work independently and manage multiple tasks
Preferred Qualifications
- Experience with Canva or basic graphic design
- Familiarity with Jira or project management tools
- Strong communication skills
- Ability to work under pressure and meet deadlines
- Experience in a fast-paced administrative support role
