RWDI is seeking a
Project Coordinator to join our Kuala Lumpur office.
This role supports the successful delivery of projects while also contributing to the smooth day-to-day operations of the office.
Reporting to a Project Manager, the role works closely with project teams and technical stakeholders to coordinate activities, prepare documentation, and ensure deliverables are completed in a timely and organised manner, while gaining exposure to project coordination and delivery processes.
In addition, the role plays an important part in supporting office administration and operational coordination, providing visibility across business operations and contributing to a well-functioning, efficient, and professional workplace environment.
Key Responsibilities
Project Coordination • Support project teams in the preparation and submission of proposals, reports, and project documentation
• Maintain and update project data and records within internal systems (ERP)
• Coordinate project activities, including scheduling meetings, tracking deliverables, and monitoring timelines
• Assist with invoicing, purchase orders, and basic project-related financial tracking
• Support the preparation and distribution of project status reports and documentation
• Manage project documentation, contracts, and supporting materials to ensure accuracy and accessibility
Office & Administrative Responsibilities • Manage day-to-day office operations to ensure a smooth and organised working environment
• Coordinate office supplies, equipment, and consumables, including ordering and inventory tracking
• Act as the primary point of contact for facilities-related matters, including liaising with landlords, building management, and service providers
• Coordinate office maintenance and contractors (e.g. cleaning, fit-out, repairs), ensuring timely resolution of issues
• Support the processing of office-related invoices (rent, utilities, services, etc.) in alignment with finance processes
• Support basic health, safety, and workplace compliance requirements within the office
• Ensure the office remains presentable, functional, and aligned with company standards at all times
• Act as a key point of contact for staff, visitors, and external stakeholders when required
• Assist in organising internal activities such as team events, meetings, and office initiatives
• Maintain and organise office documentation related to facilities, vendors, and service contracts
Skills, Knowledge & Expertise
• Strong organisational and time management skills, with the ability to manage multiple priorities effectively
• High attention to detail and accuracy in handling documentation and data • Strong communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels
• Ability to work independently, take initiative, and thrive in a fast-paced environment
• Intermediate proficiency in Microsoft Office
• Strong coordination and administrative capabilities, with a structured and methodical approach to work
• Ability to balance project coordination responsibilities alongside office operations
• Positive, adaptable attitude with a willingness to support team and office needs as required
• Ability to work effectively under pressure and meet deadlines
• Sound judgement, professionalism, and integrity when handling tasks and information
• Ability to work collaboratively across teams in a tactful and professional manner
• Prior experience in project coordination, administrative, or similar roles is advantageous, with a minimum of 3 years of relevant experience
• A university undergraduate qualification is preferred; equivalent experience will also be considered
