The Interim Facilities Assistant will support the Sr. Manager, Facilities in executing day-to-day facility operations across the corporate office, retail stores, showroom environments, and warehouse distribution center. The Interim Facilities Assistant will also take a lead role in shipping and receiving, overseeing all package and mail distribution.
This is a 3-month interim contract role, ideal for someone who can quickly step in and ensure seamless operations across all spaces.
Responsibilities:
- Partner with the Sr. Manager, Facilities and Facilities Technician to liaise with landlords and building services, ensuring all spaces are maintained to a high standard and aligned with brand expectations
- Respond to employee and departmental requests related to lighting, furniture, fixtures, equipment, and minor repairs
- Manage all incoming shipments, packages, and mail, ensuring timely and accurate distribution
- Oversee shipping and receiving operations, including coordination within the warehouse distribution center
- Maintain office and storage areas to ensure they are organized, safe, cost-efficient, and reflective of the brand
- Coordinate and oversee mailroom operations and processes
- Issue and track employee lockers and assist in resolving locker-related issues
- Ensure common areas (e.g., copy stations, mailroom, shipping areas) are clean, organized, and fully stocked
- Procure office and facilities supplies and maintain inventory in supply closets
- Assist with emergency facility needs and remain knowledgeable of all related procedures
- Support the Sr. Manager, Facilities with key projects, including coordination of billing, invoicing, deliveries, and project timelines
- Assist with furniture and equipment moves, changes, and new installations
- Help establish and communicate office services policies, standards, and procedures
- Coordinate maintenance and repairs for office equipment such as copiers and printers
- Ensure printers and copiers are consistently stocked with necessary supplies
- Serve as backup to the Facilities Technician
- Support additional facilities projects and requests as needed
Desired Background:
- High school diploma or equivalent required
- College or trade school experience preferred
Experience:
- 0–3+ years of experience in an office environment and/or mailroom
Skills:
- Ability to lift and handle packages up to 50 lbs
- Strong ability to work both independently and collaboratively in a fast-paced environment
- Excellent organizational, time management, and prioritization skills
- Proactive, self-starter mindset with strong problem-solving abilities
- Experience with shipping and receiving operations
- Strong troubleshooting skills
- Excellent verbal and written communication and customer service skills
- Flexibility to work outside of standard business hours as needed
- Experience with UPS WorldShip preferred
- Proficiency in Microsoft Office Suite
Base Salary Range:
The base pay range for this position is $18.00 - $ 20.00 hourly. Base pay offered may vary depending on skills, experience, and location. This is a 3-month interim contract role.
