POSITION SUMMARY:
To provide high standard administrative and clerical support to the General Manager of House of Dancing Water (“HODW”) and to the department.
The scope requires to perform routine quality assurance evaluations, special project progress support, communication with service providers and internal business units. This position requires strong organization abilities, time management skills, detail-oriented skills and effective communication with all internal and external parties.
PRIMARY RESPONSIBILITIES:
- Perform administrative functions to the General Manager, make discretionary decisions and interface with all appropriate internal departments.
- Maintain a comprehensive calendar file for the General Manager and keep track of appointment schedules and arrangement of business meetings.
- Consolidate meeting notes, follow-up and development flow including status reports and presentations.
- Develop and prepare presentations, regular reports, measurement tools and preparation of supportive documents.
- Prepare and facilitate travel arrangements and general logistic support for the General Manager and business-related collaborators related to HODW.
- Manage and prioritize incoming and outgoing communications; compose professional memoranda, letters, and emails on behalf of the General Manager.
- Maintain confidentiality of sensitive materials.
- Liaise effectively with other departments on behalf of the General Manager to convey and/or source required information.
- Assist in administrative tasks for the General Manager including but not limited to handling POs, business cards, office supplies, and training enrolments in tandem with the Show Support department.
- Maintain cleanliness and the standard of the office environment.
- Coordinate with other departments' executive assistants to work as a team.
- Act as the main bridge between the General Manager, the department, and other business units.
- Perform other reasonable job duties as assigned.
KEY PERFORMANCE INDICATORS:
- Provide a high standard of administrative and project support to the General Manager and the department
- Maintain an accurate calendar for the General Manager and timely prep for all meetings
- Successfully coordinate and execute assigned unit projects on time
- Act as a smooth, professional bridge between the General Manager and other business units to source and share information
- Ensure confidentiality of restricted or sensitive information
- Ready to work at irregular hours, including weekends and evenings
- Adhere strictly to all departmental policies and procedures
QUALIFICATIONS:
Experience
- At least 3-5 years work experience, preferably in an administrative role
- Full understanding of Entertainment Industry particularities or entertainment background is a strong advantage
Education
- University graduate or equivalent degree of field expertise
