Position objective
To support the Legal Department in administrative and operational activities related to the management of legal proceedings, document control, interface with external law firms, and assistance with financial and regulatory routines, contributing to the organization, efficiency, and compliance of the company’s legal demands.
Key responsibilities
Monitor and keep the schedule of hearings and expert examinations for civil and labor cases up to date, providing support to the internal legal team and external law firms.
Support the follow-up of documentation delivery related to civil, labor, and tax proceedings, ensuring compliance with procedural deadlines.
Assist in the preparation of powers of attorney and letters of representation, in accordance with guidance from the legal team.
Control and organize documentation related to tax expert reviews, ensuring information integrity and availability.
Support the management of certificates within the tax and regulatory areas, including requests, validity tracking, and archiving.
Submit payment requests in the JDE system related to legal fees of external law firms in the civil, labor, tax, and privacy areas, ensuring proper posting and follow-up.
Process reimbursement payment requests for external law firms in JDE and review supporting documentation in accordance with internal policies.
Open and monitor internal tickets for payment receipts, ensuring traceability and completion of financial requests.
Manage the electronic signature workflow through the DocuSign platform, including document submission, tracking, and organization of executed agreements.
Assist with the registration of non-approved vendors, in compliance with internal procedures and administrative requirements.
Control the receipt of departmental documents, including scanning, organization, and forwarding to responsible parties, as well as interfacing with the reception/front desk.
Support the control of office supplies, monitoring restocking needs and organizing resources of the Legal Department.
Requirements and qualifications
Enrolled in an undergraduate Law degree.
Basic knowledge of administrative routines and interest in working in a corporate environment.
Familiarity with corporate systems is a plus (e.g., ERP systems, electronic signature platforms).
Intermediate proficiency in Microsoft Office, especially Excel and Word.
