The Regional Intake Manager leads and oversees regional intake operations, ensuring efficient, accurate, and cost-effective patient intake through data-driven decision-making and continuous improvement. The role provides strategic and operational leadership, manages and develops intake staff, and collaborates closely with regional and organizational leaders to coordinate referrals and streamline care transitions. This position ensures timely and compliant referral processing, supports strong teamwork and communication, and serves as a key leader within the Regional Business Office to deliver consistent, high quality intake services.
Leads and develops regional intake staff by establishing standards and qualifications, assessing competency, driving professional development, and ensuring team performance meets key operational and quality metrics through coaching, mentoring, onboarding, performance management, and consistent communication with leadership.
Participates in team huddles and performance improvement activities, supports staffing and hiring needs, assists Intake Leads during high-volume periods, and models H3W leadership behaviors to promote a positive, engaged team culture
Oversees and ensures consistent, high-quality regional intake operations by coordinating referrals, directing daily staffing based on needs and performance, collaborating with internal and external partners, monitoring team productivity and trends, proactively addressing issues, and maintaining strong relationships across the care continuum to support seamless service deliver.
Ensures regional compliance with high-quality intake operations by guiding cost-effective, outcome-focused referral decisions; leveraging data and reporting tools; leading hiring, training, coaching, and performance management; maintaining accurate and compliant referral documentation; modeling ethical practices; and enforcing consistent adherence to regulatory, confidentiality, and referral management standards across the region.
Perform other related duties as required
Education: Graduate of accredited BSN, PT or OT or SLP program required. Bachelor's degree preferred.
Experience: Three years of clinical experience required. Homecare, clinical training and management background preferred.
Licensure, Certification, Registration: Current RN, PT, SLP or OT License required.
Knowledge, Skills and Ability Requirements
• Knowledge of regional intake operations, referral workflows, regulatory requirements and confidentiality standards (HIPAA, state, and federal)
• Knowledge of performance metrics, productivity standards, and date-driven process improvement practices.
• Skilled in leading, coaching, onboarding, developing and evaluating intake colleagues to achieve operational and quality goals.
• Skilled in analyzing reports and using Electronic Medical Record (EMR) and reporting tools to monitor performance, trends, and compliance.
• Strong communication, collaboration, and relationship-building skills with clinical leaders, executive leadership, providers and referral sources.
• Ability to lead regional teams in a fast-paced, high-volume environment while ensuring accuracy, compliance, and cost-effective outcomes.
• Ability to prioritize, problem-solve, and adapt staffing and workflows based on regional needs and business demands.
