Introduction The Jim Pattison Auto Group has an exciting opportunity for an Appointment Coordinator to join our Toyota Downtown dealership. In this role, you will support the Service Department by managing customer appointments, coordinating service schedules, and ensuring a seamless and positive experience for every guest. As an Appointment Coordinator, you take pride in delivering exceptional customer service, maintaining clear and timely communication, and creating a welcoming environment that reflects our commitment to customer satisfaction. Schedule: This is a part-time role with a consistent schedule of 8-hour shifts on Saturdays. Pay Range: $21.63 hourly. This role reports to the Fixed Operations Manager of the dealership.

A Day in the Life • Greeting all service customers. • Handling customer service requests and concerns. • Manage and schedule appointments while updating the CRM or scheduling systems with accurate customer and vehicle information to ensure a seamless customer experience. • Assist customers with inquiries about services, maintenance packages, and warranty coverage. • Process payments or service authorizations when required. • Performing designated administrative duties. • Demonstrate a high degree of accuracy, sound judgment and attention to detail. • Conduct post-service follow-up calls to ensure customer satisfaction and gather valuable feedback.
What We’re Looking For • Previous experience in appointment coordination and CDK knowledge is an asset, but not required. • Customer Service Experience: Experience in retail or other customer-facing roles is preferred. • Positive Attitude: Friendly, approachable, and enthusiastic when engaging with customers. • Strong Communication Skills: Comfortable speaking with customers in person, over the phone, and via email, while creating a welcoming and friendly environment. • Organized and Detail-Oriented: Able to manage multiple appointments and schedules accurately. • Tech-Savvy: Basic computer skills with proficiency in common office programs, and open to learning dealership-specific software. • A valid BC Driver’s license is required, including a satisfactory Driver’s Abstract is required
