Workplace Operations Specialist
Department: Operations
Employment Type: Full Time
Location: Egypt
Description
We're looking for an Operations Specialist to own the full cycle of operational support for our offices, coworkings, and temporary workspaces across the MENA region — from launching new locations to managing vendors, contracts, and budgets day-to-day. The role requires strong independence and the ability to juggle tasks across multiple countries and time zones.
Key Responsibilities
- Launch new offices, D-Hubs, and coworking spaces: source locations, negotiate lease terms with brokers and landlords, coordinate contract signing and office setup (furniture, internet, access, branding).
- Support existing offices: maintenance, repairs, relocations, vendor SLA control, and day-to-day office experience.
- Manage local vendors and contractors: tenders, quotations, quality and timeline control (internet, cleaning, security, furniture, maintenance, etc.).
- Handle operational contracts and documentation in coordination with Legal, Corporate, and Finance — including renewals, KYC, and invoices.
- Support regional budgeting: OPEX tracking, payment coordination with FP&A, cost optimization.
- Maintain operational trackers, vendor databases, and reports in Google Sheets and Jira.
- Partner cross-functionally with Local teams, Country Managers, HR, Legal, Finance, Security, IT, and Expansion.
Skills, Knowledge & Expertise
- 3+ years in operations, office, or workplace management, including office launches and vendor/contract management.
- Experience with international teams and operational budgeting.
- Confident with Google Workspace and Jira; experience with Zip, NetSuite, or similar is a plus.
- Upper-Intermediate English or higher; strong business communication.
- Knowledge of French is a plus, given the Francophone markets in the region (Morocco, Algeria, Tunisia, Lebanon).
- Familiarity with MENA region specifics (legislation, KYC/AML, cultural context) is a plus.
- Proactive, detail-oriente
