Lead, Space Strategy - MAC (Moves, Adds, Changes)
Reports to: Manager, Space Strategy
Position Scope:
The Lead, Space Strategy - MAC is responsible for leading the planning, coordination, and execution of office space reconfigurations, employee moves, adds, and changes (MAC) across the OMERS and Oxford Head Office portfolio at 100 Adelaide Street West. This role provides operational ownership for workplace move management and ensures space changes are executed smoothly to support evolving business needs, workplace strategies, and tenant improvement initiatives. Working closely with internal partners and third-party vendors, the Lead drives end-to-end implementation, resolves issues, and helps ensure work is delivered efficiently, on schedule, and within budget.
This role partners closely with the Senior Analyst responsible for utilization and IWMS platforms to ensure move activity aligns with space analytics, utilization insights, and accurate workplace system data. The Lead also supports workplace transformation initiatives and helps maintain alignment between space strategy, facilities operations, and day-to-day workplace requirements.
As a member of this team, you will be responsible for:
Lead and manage office space reconfigurations, employee relocations, moves, adds, and changes (MAC) across the OMERS and Oxford Head Office environment.
Drive end-to-end execution of MAC activity, including planning, sequencing, logistics, and on-site delivery, ensuring timelines, budgets, and workplace standards are met.
Develop move strategies, phasing plans, and swing space approaches to support tenant improvement projects and phased relocations.
Build relocation plans and communications in partnership with stakeholders to enable smooth employee transitions and minimize business disruption.
Coordinate furniture placement and workspace setup/teardown activities; support installations, reconfigurations, and asset redeployment planning.
Serve as the primary point of contact for MAC delivery, issue triage, and day-to-day coordination across partners and service providers.
Partner with Business Units, Vendors, Guest Services, Security, and Building Operations to confirm requirements and coordinate execution.
Provide guidance to stakeholders on workspace planning considerations, operational feasibility, and sequencing options.
Coordinate third-party vendor performance, delivery timelines, and service quality; support resolution of delivery risks and on-site issues.
Support budget inputs including estimates, forecasting, and planning details for MAC-related work.
Review and process invoices through Oracle (OMERS) and Basware (Oxford), ensuring appropriate coding, tracking, and reconciliation.
Track MAC-related and project expenses and support identification of cost-efficiency opportunities and responsible resource utilization.
Maintain vendor inventories and furniture asset tracking to support reuse, redeployment, and sustainability goals.
Manage requests tied to seating allocations, onboarding workspace needs, and departmental space adjustments, coordinating logistics and readiness requirements.
Maintain accurate tracking of occupancy and relocation activity, providing reporting and updates to Space Strategy leadership.
Maintain internal documentation, inventory records, and operational tools that support consistent MAC delivery.
Ensure MAC activities comply with health & safety, building operations, environmental, and regulatory requirements.
Integrate sustainable practices into move management process and project delivery (reuse, recycling, responsible disposal).
Contribute to continuous improvement by refining processes, workflows, templates, and service delivery practices that improve workplace experience and operational efficiency.
Work with the Senior Analyst responsible for IWMS and utilization tools to ensure system data remains accurate and supports MAC planning.
Leverage occupancy, utilization, and booking insights from IWMS and sensor platforms to inform relocation sequencing, space reconfigurations, and workplace adjustments.
To succeed in this role, you have:
Required Skills:
College Diploma or University Degree in Facilities Management, Interior Design, Workplace Strategy, or a related field.
7+ years of experience in facilities management, workplace operations, or move management in a corporate office environment.
Demonstrated experience delivering office moves, workplace reconfigurations, and furniture systems coordination.
Proven ability to coordinate multiple stakeholders and vendors in a fast-paced environment, managing competing priorities and resolving issues quickly.
Experience with project scheduling, budgeting, and vendor coordination.
Proficiency in Microsoft Office (Excel, PowerPoint, Word).
Proficiency in AutoCAD to produce and maintain space planning drawings and move deliverables.
Core competencies include strong stakeholder management and communication, high attention to detail, strong organization and coordination, practical problem-solving and decision-making, service excellence mindset, and collaborative relationship-building.
Nice to have:
Exposure to space management tools/IWMS platforms.
Familiarity with occupancy analytics, workplace sensors, and space utilization reporting tools.
Knowledge of furniture standards, ergonomic workplace design, and workplace accessibility requirements.
Experience reviewing and processing invoices through systems such as Oracle and Basware.
Experience working within large enterprise or multi-tenant commercial office environments.
PMP, FMP, IFMA, or LEED accreditation/certification would be considered an asset.

The expected salary range for this position is $86,000.00 - $130,000.00 per year.
