Role Purpose
Within the Finance Department and in partnership with the sales teams, the Sales Administrator's mission is to secure revenue recognition.
The Sales Administrator's mission is critical in order to reduce the Unbilled (accruals), improve the quality of the invoicing and thus improve the DSO. It´s a key role for the organization and to support our Sales activity.
The Sales Administrator is a real partner of commercial services in order to improve quality and efficiency of opportunities/ Billing Notification Forms/ information collection.
Key Responsibilities
Sales Order & Contract Administration
- Create, maintain, and update sales orders, BNFs, credit memos, and related records in CRM and SAP
- Ensure contractual terms, pricing, billing models, and revenue allocation are accurately reflected in systems
- Support Statement of Work (SoW) and contract setup in coordination with Sales and Contracting teams
Order‑to‑Cash & Billing Readiness
- Prepare orders for billing and ensure completeness and compliance prior to invoicing
- Support billing execution, including resolution of standard exceptions and corrections
- Assist with pass‑through, intercompany, and billing model‑specific requirements (fixed fee, time & materials, milestones)
Acquisition & Change Support
- Support acquisition Go‑Lives by assisting with data setup, validation, and post‑Go‑Live stabilization
- Help manage increased exception volumes during system cutovers and process transitions
- Follow standardized processes and guidance defined by Sales Admin leadership and Finance
Stakeholder & Process Support
- Act as an operational interface between Sales, Finance, Contracting, and Systems teams
- Participate in pipeline calls or operational meetings as required and update systems accordingly
- Maintain documentation, trackers, and shared repositories to ensure data accuracy and audit readiness
Continuous Improvement & Controls
- Identify recurring issues and escalate process gaps or data quality concerns
- Support process improvements, standardization, and automation initiatives under guidance of senior team members
- Comply with internal controls, segregation of duties, and audit requirements
Scope & Complexity
- Supports multiple profit centers and customers, including strategic and acquired accounts
- Operates across CRM, SAP, PSA, and supporting tools
- Handles moderate transaction volumes with defined procedures and escalation paths
- Works under tight timelines, particularly during month‑end and quarter‑end close
- Requires accuracy, attention to detail, and ability to manage operational priorities
Required Qualifications
- Fluent in french and english
- Bachelor’s degree in Business, Finance, Administration, or related field (or equivalent experience)
- 0–3 years of experience in Sales Administration, Sales Operations, Finance Operations, or Customer Support
- Strong attention to detail and data accuracy
- Proficiency in Microsoft 365 tools (Excel, Outlook, Teams, SharePoint)
- Ability to follow defined processes and work effectively in a fast‑paced environment
Preferred Qualifications
- Experience with SAP, Salesforce (SFDC), PSA, or similar CRM / ERP systems
- Exposure to Order‑to‑Cash, billing, or contract administration processes
- Experience supporting multi‑entity or acquisition environments
- Proficiency in English; French is a strong asset for France‑aligned roles
