Providing efficient, timely, and procedurally compliant administrative support for the HR team in the EMEA region, supporting operational, coordination, and documentation tasks.
Scope of Cooperation and Reporting
• Reporting to the EMEA HR Director.
• Operational collaboration: with the Recruiter (recruitment coordination), HR Generalist (employee matters), Payroll/Finance/IT teams, and local Office Managers.
• Flexible adoption of daily/weekly priorities from each HR team member.
Key Responsibilities (by area)
* Recruiter Support (Talent Acquisition Coordination)
• Posting job ads, pre-screening CVs (sending CVs from agencies to managers), and scheduling interviews
• Coordinating recruitment panel calendars, sending confirmations, and calendars/Teams
• Updating candidate statuses in Dayforce
• Preparing and sending offer and pre-onboarding documents (in collaboration with HR/Legal).
• Supporting background checks (in accordance with local regulations).
• Communication and feedback to candidates (candidate experience standards).
*HR Generalist Support (Employee Lifecycle)
• Document management support
• Supporting onboarding/offboarding
• Supporting benefits (enrollment, changes, communication with suppliers).
• Administrative support in immigration matters (document management, internal tracker updates, communication with external companies supporting employee immigration processes).

Compliance with GDPR and local labor regulations
Requirements (candidate profile)
Must-have
• Experience: 1.5–3+ years in HR administration/recruitment coordination/team support in an international environment.
• Languages: very good command of English (B2/C1);
• Tools: very good use of MS Outlook/Teams/Excel/Word/PowerPoint, multi-zone calendars; experience with ATS/HRIS
• Compliance: knowledge of best data protection practices (GDPR) and basic labor law (at least a general understanding of EMEA differences).
• Communication: professional, courteous communication with candidates and employees.
• Knowledge of Dayforce/Workday/other HRIS
Nicetohave
• Experience coordinating onboarding/offboarding in several EMEA countries.
• Temporary role with the possibility of extension.
• Mode: Hybrid with presence in the Gdańsk office; willingness to occasionally work outside standard hours due to different time zones (EMEA/US).
