Until campus construction is completed, we are located at Crescent Plaza, Tan Phu Ward, in Ho Chi Minh City (formerly District 7).

About the role

The Student Club Coordinator plays a vital role in fostering a vibrant and engaging co-curricular environment within the university. This position is responsible for supporting the establishment, operation, and growth of student clubs. The Coordinator serves as a key resource for clubs, providing guidance, training, and administrative support to ensure clubs function effectively and contribute positively to the student experience.

Roles and Responsibilities

The roles and responsibilities of Student Club Coordinator includes but not limited to:

•  Assist in developing club guidelines and policies, ensuring clubs comply with relevant Fulbright regulations, especially concerning health and safety and risk mitigation. 
• Manage student clubs to ensure their performance aligning with Fulbright strategy.
• Provide guidance and support on club management, including event planning, budgeting, sponsorship and conflict resolution...
• Assist in developing and delivering training sessions for club executives.
• Review and approve student club event proposals, providing feedback and guidance as needed. Collaborate with internal stakeholders to ensure successful event execution.
• ·Support student clubs to plan and supervise clubs’ event execution on and off campus, ensuring compliance with Fulbright safety and risk assessment policies and procedures.
• Provide guidance to clubs on developing and managing their budgets effectively. Oversee Club Submission, Club Grant and Report, and tracking expenditures. Ensure clubs adhere to financial policies and procedures.
• Develop and maintain effective communication channels with student clubs. Promote student club activities and achievements through various communication platforms (website, social media, newsletters…).
• Collaborate with faculty advisors to ensure their active involvement and support of student clubs.
• Support establishing links with external organizations to develop health, recreation, and sports programs to encourage participation for sports clubs.

Other duties:

Contributing to team effort by welcoming new and different work requirements; exploring new opportunities to enhance the services of the department; helping others accomplish related job results as and where needed; and perform other duties as assigned by Line Manager.

 

Qualifications

What we look for

Education:  A relevant Bachelor’s Degree, preferably in event management, marketing,

Experience:

• Experience in planning and executing events, recreation, health, or sports activities.
• Demonstrate broad experience in planning and organizing sports and recreation events, workshop, seminar…in a safety-focused environment.

Knowledge, Skills and Abilities:

• Ability to work in an English-speaking environment, with strong written and verbal communication skills General project management knowledge.
• Strong organization, communication, detailed oriented, customer service skills and a high level of understanding of continuous improvement principles.
• Ability to work independently and with team.
• Basic knowledge of design, content writing.
• Flexible work schedule, with the ability to work weekends to facilitate and execute programming.
• Demonstrate a passion for student development and leadership
