We are seeking an experienced and commercially minded Service Charge Executive to join our property management team in Bellshill, North Lanarkshire. This is a key mid-level role supporting the day-to-day financial and operational management of a portfolio consisting of commercial business parks and office buildings.
The role will consist of service charge lifecycle, from budget preparation and tenant liaison through to year-end reconciliation and lease compliance, working closely with property managers, surveyors, and finance teams.
Key Responsibilities
Service Charge Budgets & Reconciliation
- Prepare and issue annual service charge budgets
for commercial assets including business parks and multi-tenanted office
buildings
- Manage the full reconciliation process at
year-end, ensuring accuracy and compliance with RICS guidelines and lease terms
- Monitor expenditure throughout the year,
identifying variances and reporting to senior management monthly
- Coordinate with external auditors and
accountants to ensure timely sign-off of annual reconciliation.
Tenant Liaison & Queries
- Serve as the primary point of contact for tenants on all service charge matters.
- Handle and resolve tenant queries relating to budgets, demands, income, reconciliations, and on-site services in a professional and timely manner.
- Build and maintain positive relationships with occupiers to support lease retention and satisfaction.
- Attend tenant meetings as required.
Lease Compliance & Reporting
- Review and interpret commercial leases to ensure service charge obligations are correctly applied.
- Ensure all service charge demands and reconciliations are issued in accordance with lease provisions and statutory requirements.
- Maintain accurate records and produce regular management reports on portfolio performance.
- Support the wider team in due diligence for acquisitions, disposals, and lease renewals.
Person Specification
Essential
- Proven experience in commercial property service charge management (business parks, offices, or mixed-use assets).
- Strong understanding of service charge budgeting, reconciliation, and RICS Service Charge Code.
- Ability to read and interpret commercial leases.
- Excellent numerical and analytical skills.
- Strong written and verbal communication skills with confidence in tenant-facing situations.
- Proficient in property management software and Microsoft Excel.
Desirable
- MRICS qualified or working towards RICS accreditation.
- Experience managing multi-tenanted business park or office portfolios in Scotland.
- Knowledge of Scottish commercial lease law and service charge implications.
