POSITION SUMMARY:
World Relief seeks an Education Administrative Associate. This role provides administrative and coordination support for adult education programs serving refugees and immigrants across Resettlement, Integration, and Employment programs. This position supports the effective delivery of Education services by coordinating logistics, managing communication, tracking participation, and ensuring education related information is shared in a timely and accurate manner with internal program teams. The Education Administrative Associate works in close partnership with the Education Specialist, who leads instructional delivery, and supports the Education Manager and broader program teams by maintaining clear systems for scheduling, attendance tracking, and documentation related to education participation and completion.
This is a part-time position for 20 hours per week.
ROLE & RESPONSIBILITIES:
Education Program Coordination
- Support scheduling and coordination of adult education classes, including Cultural Orientation, job readiness, financial literacy, and digital literacy.
- Maintain class calendars and coordinate logistics related to class delivery in collaboration with the Education Specialist.
- Assist with preparation and distribution of class materials and resources as needed.
- Coordinate with Intake and Program staff to verify education‑related intake and enrollment paperwork workflows, including handoffs, timing, and staff responsibilities.
- Support education‑related intake and eligibility documentation by coordinating information, assisting with case notes, or ensuring required education documentation is shared with or uploaded by designated staff into client case files.
Client Communication & Engagement
- Communicate with clients regarding class schedules, participation expectations, and updates related to education services.
- Support timely and clear communication between education staff, program teams, and clients.
- Coordinate with interpreters or bilingual staff as needed to support client engagement.
- Maintain organization and access to available resources on digital platforms, for staff and clients.
Attendance Tracking & Documentation Support
- Track class attendance and participation in accordance with program and grant requirements.
- Maintain accurate records related to class participation and completion.
- Collaborate with Intake and Program staff to ensure education‑related intake and enrollment documentation is complete, accurate, and reflected appropriately in client case notes and records.
Program Administration & Data Management
- Assist with monitoring education records for completeness, accuracy, and timeliness.
- Support reporting, monitoring, and compliance efforts related to education programming.
- Maintain organized digital and physical files related to education services.
- Support audits, internal reviews, and grant reporting activities as needed.
Collaboration & Team Support
- Work closely with the Education Specialist to support coordinated and efficient education service delivery.
- Collaborate with Resettlement, Employment, and other program staff to ensure smooth information flow related to education participation.
- Work with Intake and Program teams to clarify and maintain a shared understanding of education intake, enrollment, and documentation processes.
- Participate in department and staff meetings as required.
- Perform other related administrative duties as assigned.
JOB REQUIREMENTS:

- Able to affirm and/or acknowledge World Reliefs Core Beliefs, Statement of Faith, Christian Identity and National Association of Evangelicals' For the Health of The Nation document
- Proficiency in Microsoft Office applications and online data systems, spreadsheets and document management systems.
- Fluency in written and spoken English;
- Willingness to occasionally work evenings or weekends as program needs require;
- Valid driver’s license and ability to use a personal insured vehicle as needed;
- Authorization to legally work in the United States.
- Collaborative and highly organized in administrative tasks.
PREFERRED QUALIFICATIONS:
- Associate’s or Bachelor’s degree in administration, Human Services, or related field preferred; or equivalent experience.
- Prior experience in administrative support, program coordination, or Human Services strongly preferred; bilingual ability preferred.
