The Office Assistant provides organized, detail-oriented administrative support within a busy office environment. This role is primarily responsible for tracking, monitoring, and supporting administrative processes within internal systems and assisting with employee recognition programs and related administration. The Office Assistant ensures tasks are completed accurately and on time, and information is entered correctly, all while maintaining confidentiality regarding sensitive information. PRIMARY RESPONSIBILITIES: • Processing high volumes of data entry and online form completion, ensuring both accuracy and time management goals are achieved, and maintaining confidentiality relating to sensitive information. • Tracking and monitoring tasks, deadlines, and documentation to ensure full and accurate completion of required tasks in a timely manner. • Taking initiative and following up with internal managers, employees, and job applicants regarding outstanding required documentation through email, Teams, and telephone to ensure resolutions and accurate record keeping. • Assisting with various company employee retention programs and services, including employee recognition events, retirement programs, holiday party programs, and other staff activities. • Supporting general office organization and administrative processes, including supply ordering, scheduling office maintenance and repairs, and administering various annual programs. • Tracking the Human Resources department budget, including all budgetary expenses and subsequent invoices. • Providing backup reception coverage for the Human Resources Office. • Providing additional administrative support to the Vice President of Human Resources, the HR & HRIS Manager, and HR team as required while completing other duties as assigned. DESIRED QUALIFICATIONS: • A minimum of one (1) to two (2) years of previous related experience in an office environment with a high level of confidentiality. • Strong organizational, time management, communication, and computer skills, along with a high degree of professionalism in the workplace. • Comfortable working within systems and databases. • Proficiency in Microsoft Office: Excel, Word, Outlook, Teams, and learning new software such as the Dayforce HRIS system. • Detail-oriented with a high level of accuracy regarding written communications. • Professional and approachable demeanor with the ability to be outgoing and social in relation to organizing staff events and functions. • Ability to handle confidential information with discretion. TERMS OF EMPLOYMENT: • This is a full-time position required in the office Monday through Friday, 8:30am – 5pm. • This position is eligible for participation in our 4-day work week program. • This position will work on-site within the Human Resources office in West Edmonton Mall. • This is a salaried position that will depend on experience and qualifications. • Must be able to pass a basic security clearance.
