About the Role
As an Exhibits Coordinator, you’ll contribute to production operations by receiving, scanning, uploading, organizing, and assembling exhibits. You’ll reproduce color, oversize, and media materials as instructed or per standard rules, while ensuring jobs are complete, accurate, and delivered on time—including expedited or rush assignments.
Key Responsibilities
Receive packages, identify rush jobs, and record tracking and assignment numbers
Log jobs accurately into NetSuite and assign jobs to crates for scanning
Scan exhibits, complete image quality control, and upload images to the appropriate system
File scanned exhibits into crates and match original exhibits to printed transcripts
Ensure jobs are complete with required color, oversize, media, and other materials
Return old original exhibits after the required holding period
Assist with maintaining and organizing old original exhibits
Update NetSuite accurately throughout the production process
Insert tabs into copies and originals when applicable and in accordance with regional regulations
Use appropriate binder sizes based on the number of exhibit pages
Follow special request firm instructions and applicable state rules
Maintain cross-training on all duties and meet or exceed production deadlines and quotas
What You’ll Need
Skills: Excellent interpersonal, verbal, written, communication, and organizational skills
Technical: Proficiency in Microsoft Outlook, Word, Excel, and related reporting tools
Problem Solving: Ability to research, analyze information, follow up with clients and coworkers, and make sound recommendations
Experience: 1-2 years of client service or related experience in an office setting; legal or law firm experience a plus
Education: High school diploma required; Associate’s degree preferred
Work Style: Detail-oriented with the ability to plan work effectively, multitask, shift priorities, and meet deadlines
Physical: Ability to move boxes weighing up to 30 pounds
Attributes: Reliable, adaptable, able to work under pressure, and capable of taking direction from more than one supervisor
What Success Looks Like
Meeting productivity requirements documented in KPI reports of at least 90%
Meeting accuracy requirements documented in KPI reports of at least 98%
Consistently reporting to work as scheduled and completing assigned shifts
Delivering accurate, complete exhibit work on time, including rush assignments
Supporting production goals through organization, quality, and attention to detail
Work Environment
This role is based in an office/production environment with some exposure to noise, dust, temperature changes, and similar conditions. The position requires handling packages, lifting up to 30 pounds, and performing physical activities such as pushing, bending, kneeling, and crouching while supporting fast-paced production operations.
