We are seeking a highly organised and proactive Facilities Co-ordinator to join our Estates Management team. This key role is responsible for supporting the effective delivery of facilities management services across a diverse property portfolio.
Responsibilities
You will provide leadership, coordination, and administrative oversight across maintenance, contracts, and security functions, ensuring services are delivered efficiently, compliantly, and to a high standard. This is an excellent opportunity for someone with strong organisational skills and supervisory experience to contribute to a vital public service.
provide day-to-day supervision and coordination of the Maintenance and Contracts Officer and Headquarters Security team
support the delivery of planned and reactive maintenance works, ensuring timely completion and quality standards
manage facilities systems, including Freshservice and Oracle, ensuring accurate processing of work requests and invoices
monitor budgets, prepare estimates, and ensure effective financial control within your area of responsibility
administer the letting of residential and commercial properties, including rent and rates processing
liaise with surveyors, contractors, legal teams, and external stakeholders on property and contract matters
oversee contractor performance and ensure compliance with financial regulations and procurement procedures
maintain accurate records, filing systems, and data management responsibilities in line with policy
act as Data Controller for the section and ensure adherence to relevant policies
provide cover for the Cleaning and Catering Officer when required, ensuring continuity of service .
Experience and skills
Essential
proven experience in a supervisory or coordination role
strong administrative and organisational skills
competent in Microsoft Office (Word, Excel, Teams)
knowledge or experience of property, lettings, or legal processes
GCSEs (or equivalent) in Maths and English (Grade C or above).
Desirable
experience of Oracle and Freshservice systems.
Working pattern
37 hours per week
Hybrid working - minimum of 2 days per week in office
One designated on-site cover day per week.
