The Archiving Specialist reports to the Archiving Team Leader and performs day-to-day activities related to legal file preparation, document archiving, and judicial workflow coordination. The role ensures the accurate and timely preparation, monitoring, and execution of legal actions by maintaining complete documentation, updating systems, coordinating with external law firms and archiving vendors, and ensuring compliance with internal policies and SLAs.
Main Accountabilities
- Prepares, reviews and maintains complete digital and physical legal & Operational files
- Performs daily/weekly quality controls (e.g. missing documents) and quality checks (e.g. resolution, accuracy, metadata)
- Responsible for the creation of digital case files in designated folders and systems and filing of all relevant documents.
- Manages physical and digital document archiving in collaboration with external archiving vendors
- Coordinates physical document retrieval requests from archiving vendors and monitors timely completion.
- Monitors internal units and external partners’ adherence to archiving processes and standards
- Supports internal users and external partners regarding incident/problem management related to ECM platforms.
- Ensures user access to ECM platforms where required, based on justified business needs
- Responsible for document research via internal systems, workflows and repositories (e.g. ECM, shared folders, internal applications)
Requirements
Education, Experience and Technical Skills
- Bachelor’s Degree in a relevant field
- 1–3 years of working experience in legal operations, judicial support, loan servicing, collections or similar operational role
- Excellent oral and written communication skills in Greek; English considered an asset
- Strong PC literacy and advanced use of MS Office applications
- Experience with document management systems, ECM platforms and case tracking tools
- Detail-oriented mindset with strong accuracy in legal and operational documentation
